Job Description

E-Rostering Administrator /Coordinator Tosupportthedevelopmentof the community nursing service throughtheeffectiveuse ofdigitaltechnologies, thepostholderwillbecome an expert user of Health Roster system, Employee online and Roster perform to support the nursing teams and management in the effectiveuse of these systems in line with best practice.To facilitate the planning, co-ordination, booking and monitoring of study leave, annual leave, supervision, appraisals, team meetings and other non-clinical tasks; ensuring that all clinical shifts are filled, and other clinical quality and safety tasksplanned as a routine.The post holder will be critical in responding to all community nursing rostering queries, aligning all relevant data, producing system reports on a monthly basis to the operational business manager and community nursing PA.Location: Hounslow, Teddington and working from home (once settled into the role)Temporary: Expected to last 3 months with possible extensionHours per week: 37.5 hours per weekSalary: £12.10 per hour (Umbrella) or £10.81 per hour (PAYE inclusive of holiday pay)KEY RESPONSIBILITIES

  • Understand the operational delivery of the service and roles within community nursing to be able to advise on rostering, training requirements and standard operating procedures to enable teams to optimise the use of current and new systems.
  • Attend business support and locality nursing team meetings to keep abreast of service and organisational developments and priorities to ensure that training and digital utilisation are informed by current and accurate information from front line staff.
  • Liaise with business managers and the application manager for Health Roster to ensure that standard operating procedures are developed and updated to enable the optimised use of the system.
  • Promote and influence any change management processes through a detailed understanding of the Health Roster and service needs rather than responding reactively to requests.
  • Support and advise team and service managers on the design and implementation of rosters and work schedules, including new approaches that achieve compliance and best value for the trust.
  • Provide team and service managers with shift fill and other reports from Roster Perform to inform safe caseload monitoring and service improvements/ developments.
  • Ensure that all improvements in e-rostering practices are captured in order to demonstrate benefits realisation - finance, productivity, efficiency and staff satisfaction.
  • Maintain the new starter and leaver details within Health Roster.
  • Maintain the Health Roster with the clinical skills, working patterns and fixed shifts of staff
  • Populate and develop the clinical staff rotas in line with the master template held on the erostering system with required skills mix and coordinate any changes to these rosters in line with approval rules and timescales. Ensuring the proactive forwardplanning and booking of clinical shifts and non-clinical activities.
  • Maintain the Health Roster in real time with the accurate recording of hours worked by permanent and contingent staff.
  • Ensure all rosters are finalised and ready for payroll extract, ensuring that the payroll file can be run and staff paid on time.
  • Monitor system settings, i.e. shifts, rules, patterns and roster templates, to ensure that staff can be rostered effectively and according to their contracts using the auto-roster feature. Recognise potential problems within the rosters and act promptlyto resolve them
  • Monitor Health Roster and provide feedback to team and service managers to regular breaches of rostering rules and over/under staffing due to flexible working agreements or fixed patterns.
  • Work with team and service managers to ensure that hours and work intensity are regularly and adequately monitored and are compliant with European working time directive (EWTD) regulations.
  • Provide housekeeping of Health Roster to ensure minimal variance in hours worked relative to contracts.
  • To utilise all features of the Health Roster to record absences, return to work, special leave and study leave and design a centralised system for alerting managers to approve requests and undertake return to work interviews. Maintaining a shared folderof all associated HR documentation.
  • To act as the first point of contact for issues relating to the clinician provision, e.g. sickness absence reporting, annual leave, study leave, shift swaps, bank and agency cover.
  • Support the business manager with progressing recruitment and leaver processes
  • Support bank and agency sourcing and booking processes.
