Job Description

We are seeking to recruit an experienced Workforce Planning Coordinator on a 6 month fixed term contract for our educational client based in Stourbridge region. The successful candidate would report to both our Head of IT and Head of Finance.Job PurposeTo implement a new rota and work force planning tool to ensure that the college/school is able to coordinate hours needed, available manpower, and identify gaps to ensure that the provision is resourced efficiently through effective coordination of support staff, known absences and timetable changes.The post holders will be expected to embrace, articulate and work with the Trust’s objectives, vision, values, purpose and method.The post holders will be expected to travel on an occasional basis between the Trust’s sites, and to and from other places as the Trust may reasonably require.You will be required to carry out your duties at all College premises, some of which are located a distance from the main College sites and at such other places as the Trust may reasonably require.Evening and weekend working will be required.Main Duties

  • To coordinate the support worker and holistic engagement worker rota to ensure the best use of hours in both the day and residential provision. This will require close liaison with the Residential House Managers.
  • To lead the project of converting current rotas into the databridge system and any new rota systems implemented into the Trust.
  • To train managers how to implement and administer rotas within the databridge system
  • To input student attendance information into databridge and seek to relocate staff to where needed and highlight areas of concern to the Senior Management Team.
  • To manage the administration of ad hoc timetable changes on a daily basis in response to staff absence, ensuring that staffing is also changed when students are absent.
  • To collate any user issues and provide training or pass technical issues to the IT team.
  • To test new technical fixes in the system prior to roll out and feedback to IT on outcomes
  • To monitor users progress and provide support where required.
  • To share best practice with the post holders at other Trust sites
  • To provide reports to the project team including Trust Head of Technical Services and Chief Financial Officer
  • To liaise with all staff employed by the Trust, professional bodies, external consultants, and any outside bodies as and when required.
  • Experience, Skills and Knowledge:
  • Experience of implementing and devising systems best practice
  • Experience of training people on systems use
  • Experience of managing and prioritising a varied workload working to defined deadlines, and ensuring completion of tasks within these deadlines
  • Experience of using a variety of MIS systems
  • Good interpersonal skills
  • Tenacious and able to find different routes to resolve problems
  • Able to demonstrate effective decision making
  • Accuracy when completing administrative tasks
  • Ability to interpret data and write reports to support the Senior Management Team
  • Ability to see a task / project through to the end
  • Full clean driving licence and use of a car
