Job Description

To provide reception duties as a first point of contact for the new Workforce Resources Service and will therefore be expected to maintain high standards of courtesy, discretion and confidentiality at all times.To provide data input support to the Organisational Learning Improvement team in an accurate and timely manner to ensure reporting deadlines are met.This will also include supporting and working closely with the bank and agency team and the eRostering team as required to develop, triangulate and enhance process.In pursuing these duties the post holder will ensure compliance with the NHS Constitution and be familiar with the NHS England Guidance Understanding the new NHS’ (details of which can be found in the links section of NHS Jobs).MAIN DUTIES/KEY RESULT AREAS:Reception DutiesTo provide a reception service providing an efficient customer service by:

  • Greeting visitors to the Department which will include co-ordinating arrivals to planned meetings that are taking place within the department, hosting visitors and alerting relevant colleagues to their arrival.
  • Answering enquires and escalating where appropriate which will include handling calls for colleagues when they are otherwise engaged or out of the office ensuring that accurate messages are taken and delivered efficiently via email.
  • Monitoring and operating the entrance to the department to ensure that all foot traffic is received in reception as first point of call.
  • Opening and distribution of post.
  • Issuing ID badges.
  • Photocopying.
  • Ensuring the reception area is tidy and welcoming.
  • Manage HR mailbox with the support of the HR Services team
  • Support to the Recruitment teamTo provide support to the Recruitment & Workforce information teams by:
  • Supporting managers with shortlisting
  • Sending out interview invites
  • Booking new starters appointments to complete pre-employment checks
  • Assist the HR Recruitment officers with undertaking pre-employment checks
  • Assist the HR Recruitment officers to issue personal files
  • Support with the distribution of staff surveys
  • Support with the distribution of reports
  • Support with data cleansing the ESR system
