Job Description

Executive AssistantLocation: Staplehurst, Kent, TN12 0DSSalary: £25K - £35K per annum, DOEContract: Full time, PermanentHours: 40hrs, Monday - FridayBenefits: Competitive pay rates, Enhanced pension contributions, Quarterly staff bonus scheme, Company sick pay scheme, Employee referral scheme, Generous overtime rates, 2 x death in service cover, Competitive holidays, Cycle to work scheme,Paid tea breaks, Free on-site parking, Training and developmentA family run company, Magnetic Shields Limited (MSL) is the industry leader in the design and manufacture of magnetically shielded products and rooms.This period of expansion is a very exciting time for the company and we are looking to speak to applicants interested in joining us in our admin team as an EXECUTIVE ASSISTANT.About the role - Executive Assistant:The role requires assisting the Managing Director and senior leadership team with all aspects of administration, including travel bookings, diary management, meeting minutes and coordination and ad-hoc project management.To be considered for this role you will need to be a team player, have the ability to work within a small team, be numerate, have excellent attention to detail and be adaptable to helping colleagues as and when needed.The right candidate will support a professional image and approach to both internal and external stakeholders on behalf of the managing director and senior leadership team.As our Executive Assistant you will be responsible for:

  • Organising and maintaining complex calendars using a high level of tact and integrity, including scheduling meetings and conference calls across different time zones and different channels (including face to face, zoom etc)
  • Completing MDs and senior leadership teams expense claims
  • Maintaining and responding to MDs emails
  • Managing the logistics of key meetings, including room reservations, catering requirements, production of meeting materials including presentations and reports. Meetings include senior leadership team and board meetings, customer and supplier meetings andkey internal meetings
  • Managing and maintaining action tracking throughout the business both in internal and external meetings
  • Handling all confidential correspondence and data to ensure a professional standard of response
  • Marketing literature input
  • Providing additional general admin support as and when required
  • Providing additional support to large projects
  • Be available to attend some out of hours international calls with customers
  • Organising and maintaining all aspects of the companys administration
  • Maintaining the company vehicles including organising servicing, MOTs, insurance etc
  • Maintaining the companys credit cards and expenses
  • Assisting the finance department etc. with annual company renewals and official documentation, including insurance renewal processes and reporting
  • Assisting with maintaining and updating company documentation
  • Any other reasonable duties as part of this role
Required skills & experience
  • 3+ years service in a comparable senior PA or executive administrative job role
  • Professional & reliable in approach
  • Well organised & self-motivated with an excellent eye for detail
  • Excellent use of Microsoft Office systems - Excel, Word, Outlook, PowerPoint
  • Proficient use of ERP/MRP systems
  • Professional customer service and communication skills
  • Flexible, able to multi task and think on their feet in a pressured environment
  • Feel comfortable prioritising a heavy workload and work well under pressure
  • Well presented in appearance
  • A minimum of 5 x GCSE grades A-C including Maths and English, or equivalent
  • Full, clean driving licence is essential
