Job Description

Job Title: Procurement CoordinatorLocation: Keele, Newcastle-Under-LymeHourly Pay Rate: £12.88Hours: 36.25 hours per week, Monday to FridayContract Length: Initially 3 months (potential to extend)Grafton Recruitment are now seeking to appoint a Procurement Coordinator to our client, based in Keele. The Procurement Coordinator will work as part of the team responsible for the delivery of best practice and achieving value for money in a procurementenvironment. The role will develop the usage of the e-marketplaces purchase-to-pay system including catalogue, punch out and e-invoicing functionality and providing relevant training to the procurement team. In addition, the role will also involve the developmentof other resources used within the procurement environment, such as the procurement web pages, buyers guide, electronic tendering systems and software used to develop suppliers sustainability.Duties of the Procurement Coordinator

  • Analyse spend data to identify approved suppliers that are suitable to set up as catalogues and further identify those suppliers where the system can directly access their webpages.
  • Liaise with the e-procurement software provider to enable integration to the e-procurement system.
  • Work with the e-marketplace provider and suppliers to deliver automated invoicing functionality through the various methods of electronic invoicing, removing all paper invoices from the system.
  • Coordinate and perform user acceptance testing, and component testing of new releases of procurement related software.
  • Ensure new releases are delivered into a live environment effectively and in a timely manner.
  • Provide updates and guidance to the procurement team to ensure the full benefit of software is achieved.
  • Develop and maintain supplier catalogues and monitor their accuracy.
  • To provide the Procurement Administrator(s) with training and guidance, ensuring they have the correct tools and skills to procure effectively.
  • Maintain up to date knowledge of the e-tendering and e-auction systems.
  • Maintain and respond to questions raised on the Topdesk system.
  • Assist the Procurement Manager in the implementation of changes to practice, process or policy.
  • Ensure effective and positive relationships with suppliers and maintain good communications with suppliers and internal customers.
  • Attend and participate in working parties where necessary and actively follow up points arising.
Knowledge & Experience
  • Educated to A level or equivalent relevant experience.
  • Experience of working in a procurement or finance environment.
  • Experience of procurement related software packages, such as electronic purchase to pay systems.
  • Experience of working independently.
  • Experience of responding to and resolving unforeseen issues and meeting deadlines.
  • Ability to develop and deliver training to small groups.
  • Good analytic and data analysis skills.
  • Ability to troubleshoot and diagnose system related issues.
  • Commitment to CPD and undertaking training as required.
