Job Description

Please note: This is a temporary role starting in July & ending in December 2020. The role will be remotely, you must have your own IT equipment. Purpose of the post: To work as a member of the University’s Central Timetabling Team (CTT) for the purpose of delivering personalised timetables to all LSBU staff and students, whilst ensuring best use of all University space and enhancing the student experience.The post holder will be required to be a direct liaison between the CTT and one (or more) of the academic schools, collating all teaching information from academics for construction of timetables, finding solutions to clashes and dealing with room booking requests.The post will also be required to work closely with other members of the CTT within SS MAIN ACTIVITIES AND RESPONSIBILITIES:

  1. To be responsible for the compilation, production and maintenance of teaching timetables created with CMIS timetabling software in line with LSBU Timetabling Policy.
  1. To work in continuous collaboration with schools and professional services, communicating effectively to ensure the delivery of efficient and effective timetables at course and module level. This requires spending a minimum of one day per week with each allocated school/professional services during the key planning and data collection cycles.
  1. To allocate available rooms and resources to ensure optimal use of space for both teaching and non-teaching activities across the university, identifying and resolving clashes and issues which may adversely affect the student experience.
  1. To provide regular reports on timetabling activity and space utilisation as and when requested.
  1. To ensure that all requested information and business intelligence is clearly reported to the university community through appropriate mechanisms.
  1. To assist with the production of the central exam schedule.
  1. To maintain and update the CTT website.
  1. To take ownership of assigned teaching and learning spaces, working with colleagues within EAE and ICT to ensure timetabled space is fit for purpose and well maintained. Working with the Estates Service Desk to ensure relevant room set up requests are assigned and delivered as required.
  1. To assist the Timetabling and Space Managers in undertaking regular space audits, utilisation surveys, timetable scenario planning and options appraisal.
  1. To provide advice and support to students/staff on their individual timetable, maintaining high levels of customer service.
  1. Ensure that procedures for access to, and retention of, information relating to the role comply with the requirements of the University and of the Data Protection Act.
  1. To undertake any other reasonable duties, appropriate to the grade, as directed by the Timetabling Manager and Space Manager.
SELECTION CRITERIAESSENTIAL CRITERIA:
  1. Evidence of an ability to achieve a high level of technical proficiency in order to undertake advanced timetabling and space allocation duties utilising timetabling software.
  1. Educated to degree level or equivalent work experience.
  1. Experience of working within a timetabling environment.
  1. Ability and willingness to learn new systems and skills and disseminate where appropriate.
  1. Excellent inter-personal skills, with the ability to establish good working relationships with staff at all levels across the University.
  1. Highly computer literate, with strong experience of utilising Windows based products as communication and management tools.
  1. Excellent data retrieval, manipulation, monitoring, analysis and decision making skills.
  1. Proven ability to show attention to detail and produce high quality work.
  1. Excellent organisational and time management skills and the ability to plan and prioritise own work.
  1. Excellent verbal and written communication skills.
  1. Ability to work under pressure ensuring deadlines imposed by the academic calendar are met.
  1. Ability to deliver high quality customer service.
  1. The successful candidate will be a flexible team player who is able to adjust to the demands of the job.
  1. Able to demonstrate an understanding of, and commitment to, equality and diversity and it’s practical applications.
