This is a great opportunity for someone who is looking to work in a fast paced and supportive work environment,take on responsibility and grow with an organisation.Responsibilities:

  • Assist the Facilities and Office manager with office administrative duties and collaborate with co-workers and external visitors to ensure they have an excellent experience in the office.
  • Operate the facilities helpdesk when required and ensure consumables are stocked and meetings / events are looked after well.
  • Administer company surveys, ensuring confidentiality where necessary and be the custodian of the survey calendar ensuring we dont cause survey-fatigue.
  • Plan and manage all company internal and external events, book and liaise with venues and ensure events run well together with the business sponsor for the event (these dont happen very often).
  • Manage the event calendar efficiently and managing cost effectively.
  • Book and manage all company travel, choosing cost effective solutions either directly or via a travel agents
  • Take ownership of the monthly business expense submissions to finance and improve the companies expense management process.
  • Occasionally manage the diaries of senior members in the team.
  • Get involved in project work undertaken by any of the operations teams, this is a great opportunity to learn and get exposure to different areas of the business.
What experience will we need from you2 years experience with any of the following is preferred:
  • Office management coordination and support
  • Business administration activities
  • Exposure to events management co-ordination
Essential:
  • Someone with business administration experience, are organised, efficient and analytical.
  • A good communicator who loves to collaborate with others and make peoples lives easier.
  • A fast learner who can work under pressure and to deadlines.
  • Self-motivated with high standards and an eye for details
  • Self-motivated and proactive to drive projects forward.
  • Excellent at building relationships.
  • Professional at all times and able to maintain confidentiality.
  • Willing to be flexible and adjust approach in line with new data or changing business priorities
  • Ability to multi-task and a willingness to learn and grow.
  • Excellent interpersonal, and communication skills.
  • Strong problem-solving and analytical skills and the ability to provide sound judgement.
  • Ability to work under pressure, handle multiple tasks, and meet tight deadlines.
  • Excellent computer skills. Proficiency in Excel, Power Point, Word.
