Job Description

Executive Officer (MOD)Contract: June 2024 Salary: £16.40 per hourLocation: Westminster, LondonHybrid setting:This is a temporary contract role until August for an Executive Office role with an immediate start date (Security Clearance dependant) for an six-month duration with a possible extension, offering a hybrid work setting and a central London location (Westminster).This is a This is a brilliant opportunity for an individual who is highly motivated and dedicated to work with a government client. The Temporary Worker will provide junior management support and carry out administrative duties that are moderately complex.They will follow set procedures and will exercise some independent judgement in carrying out instructions, under general supervision. Support the Military Assistant to maximise the effectiveness of the Directors time, resolving and de-conflicting diary clashes and advising on engagements; arranging meetings; administering meetings and conferences.Responsible for arranging meeting rooms and ensuring that visitors are booked on to site, and escorting visitors when necessary.Ensuring the 2* Laptop and iPhone remain up to date and in a working order. Liaising with SPOC when necessary. Managing all business travel arrangements including: researching and analysing cost-effective transport and accommodation using Departmental policies and processes to select the best VfM option and advising accordingly. Ensuring that all Military Travel is booked at least 2 weeks in advance of known engagements. Administrative duties, including e-filing and maintenance of the filing system; maintenance of the Hospitality Register.Ensuring the Director has all necessary documentation prior to meetings, liaising with relevant Outer Offices - this includes the creation of packs for key engagements.To provide support with all secretariat duties required for the Director. Ensuring all Board papers are held correctly across MODNET OFFICAL and SECRET systems.Ensure the Director completes all Mandatory Training and record it as per local process.Examples of work performed will include but not be restricted to: - Preparing routine correspondence and checking that of others - Compiling, verifying and reporting data Completing forms or reports- Managing the workload of a small team, if required - Liaising with internal and external stakeholders Typical qualifications and experience:- Five GCSE passes at Grade C or above Two A level passes at grade E or above or equivalent NVQ Management Level 3 or 4 (or suitable junior management experience) - Administrative experience with a good knowledge of and experience in using Microsoft Office - Excellent communication skills, both oral and writtenPlease be informed if you are successful, the client will need to run a Security Clearance prior to starting, and communication needs to be consistent with the compliance team including DBS checks and references.
