Job Description

An established, family run Auction House based in the prestigious Mayfair is seeking an Administrator, paying up to £32,000 plus benefits, to join their small and ambitious team.The ideal candidate will be looking for a fast paced and varied role, where you will become the crucial go to for the team. You will be supporting two of the specialist auctioneers with all the background administration as well as some reception duties.This role will require 5 days in the office due to the hands on nature of the position.Duties will include the following:

  • Meeting and greeting clients to the office, signing in visitors. Covering reception wherever needed.
  • Dealing with customer enquires over the phone, via email and chat
  • Registering customers for viewings and valuations (Checking the relevant ID, ensuring details are up to date and correct - gathering viewing numbers and updating spreadsheet and informing relevant department)
  • Assisting of daily viewings
  • Processing Sage Payments and invoicing
  • Organising specialist couriers and arranging the delivery of the antiquities and items
  • Assisting with the live and online auctions including; assistant with bidding, registering clients etc.
  • Keeping the valuation rooms tidy and stocked up with up-to-date catalogues
  • Arrange and oversee building maintenance such as contractors, supplies and equipment for the office
  • Creating customer paperwork including receipts and collection dockets
  • Supporting other departments when needed including Auction Day support
The company is looking for a candidate with a positive and can-do attitude, who will take the initiative on the day-to-day running of the office. You will thrive in a fast paced and varied environment, where no two days are the same! You will come from anoffice based environment, but all levels will be considered and salary based on experience. A passion for antiquities, fine arts and history could be advantageous, but not essential.
