Job Description

Executive Assistant role full time covering 12 months and likely more. This role is supporting an MD in Solihull.Client Details12 months fixed term contract Executive Assistant position based in Birmingham Business Park, Solihull, working for a billion pound turnover organisation.Description

  • To plan, coordinate and book meetings and events including venues, equipment, catering, travel and overnight accommodation as required.
  • To organise and prioritise diary appointments and proactively maintain diaries and calendars for the Head of Services UK and Leadership Team members.
  • To manage and distribute agendas and supporting meeting documents to relevant individuals in good time and in accordance with each meetings terms of reference.
  • To act as a first point of contact for the Head of Services, managing responses and/or redirecting contacts as appropriate
  • To draft letters, emails and other correspondence on behalf of the Head of Services.
  • To assist in the preparation of presentations, articles, documents for meetings and events.
  • To maintain filing systems, ensuring compliance with the General Data Protection Regulations and that commercial and other sensitives are appropriately managed.
  • To manage incoming correspondence (e-mails, letters, post etc.) including those of a sensitive nature exercising judgement to initiate appropriate action and prioritise as appropriate.
  • To plan and execute assigned projects ensuring stakeholders are managed and communications plans are well developed and executed
  • Conducting research for business projects and assignments
  • Liaising with key customers and managing customer interactions on behalf of the Head of Services
Profile
  • Executive Assistant experience in a commercial / industrial setting
  • Event management
  • Preparation of agendas, reports, presentations for senior manager / executive meetings
  • Internal communications experience
  • Project management experience
  • Can commute to Birmingham Business Park, B37, Solihull
