Job Description

Projects AdministratorBasic: £26,000 - £28,000Location: Based in Shipley (Flexibility on home working, minimum 2 days in the office)Hours: 35 per week (09:00-17:00 MonFri)with additional hours as requiredHolidays: 25 days per year plus 8 days public holidays and birthday holidaysBenefits: After probation you will have benefits such as life insurance, Bupa Health, Hybrid working, Employee Assistance Programme, Length of Service recognition scheme, Cycle to work scheme, MetroCard scheme.*You will need to be able to work outside of normal working hours including weekends and evenings if necessary. *We are looking for someone who has experience looking after projects. This could be within any industry such as construction, technology, engineering etc. Our business provide SAAS solutions into the Education sector so if you do have experience in a similarrole, please contact me!OverviewAs our customer base increases, so the associated management and organisation required to service those customers grows.This role therefore requires someone with proven planning and co-ordination abilities, who can deal with operational issues as they arise, and implement solutions to those issues quickly and calmly. Clear, concise communication with clients and suppliersis vital, particularly during pressurised situations.It is predominantly a supplier facing role requiring the management of service reviews and regular meetings with suppliers.With a background in project administration & a track record of dealing with 3rd party suppliers and have logistical planning experience.Key Accountabilities Account managementattend review meetings, analyse and act as a point of escalation for service impacting issues and customer complaints. Ensure meetings are documented and agreed actions progressed. Assist with the implementation of the service for new customers. Liaise with suppliers to ensure requirements are met to ensure the successful delivery of exams to the required standard, including service review meetings Review and regularly update customers on exam / candidate issues, confirming resolutions where applicable. Assist with the setting up of KPIs for monitoring and measuring of the service Production of clear and accurate reporting for the customer and to the wider BTL business Identify any Service Improvement Plans / initiatives with both customers and suppliers, ensuring that they are documented and acted upon. Coordinate candidate bookings to ensure concurrency limitations are not exceeded Ensure processes are maintained for booking of live proctored sessions Coordinate matters that arise on exam day, operationally and technicallyhandle issues in a composed manner, and communicate clearly and concisely to the client in these pressure situations Review technical and operational issues following exam days. Liaise with relevant parties for any action points that require resolution Collaborate and maintain good working relationships with internal colleagueswork closely and effectively with the TCN team, Service Desk, SDMs, Account Managers for the clients Update BTLs in-house SharePoint and Excel systems (a working knowledge of these systems is therefore an advantage). Develop a strong understanding of the technical solution that is in place for our customers, including both the software and the platform on which it is delivered Any other duties considered to be commensurate with the level of this role, which may reasonably be required of you.PERSON SPECIFICATIONSkills and Experience

  • Project administration experience
  • Dealing with 3rd party suppliers
  • Client facing experience (face-to-face as well as over phone / email); excellent client management / relationship skills
  • A working knowledge of SharePoint and Excel systems
  • Conducting service reviews with clients and suppliers
  • Management skills including estimating and monitoring; analytical skills
  • Communicate effectively / utilising technical understanding when working with Development Teams
