We are looking for an individual who is self-motivated and approachable, who has highly efficient administration, and office skills, and has the necessary qualities to run the front-of-housefunctions.This role will play a key function in the day-to-day running of the business and as such will require excellent communication skills. You will be expected to have great ICT skills and a good knowledge of Microsoft applications with the ability to updateand/or implement new business protocols in line with service requirements.Your role will be to supervise and coordinate full administrative and clerical support for the clinic, Director, and team, including organising any team training, meetings, and minute-taking. You will need to facilitate good team working amongst the teamincluding providing support after difficult contacts with clients as required. You will manage the day-to-day running of the services, making sure the clinic hits targets and goals. You will be trained to effectively and efficiently use Acuity and developand implement local systems required for the collection and management of information and reports as required.You will be the lead contact and manage the reception environment and coordinate and supervise the workload of the team. You will effectively plan for the provision of cover during absence to ensure a high-quality and efficient support service is providedto service users. You will monitor the generic e-mail box for the service. You will organise and monitor the booking of rooms and PelviPower chair. You will be responsible for planning inductions and training of new staff as required. You will have the overallresponsibility for ensuring appropriate procedures and protocols are followed in the reception/admin office and review and update local procedures as required.Your role is to undertake telephone and direct reception services including dealing with enquiries and taking accurate messages. To process GP letters and records for the team according to their criteria/needs. Process and organise incoming and outgoingmail. To organise and maintain files and systems for all documents and correspondence of the clinic, covering administration, planning, professional, staff and other matters. To ensure all telephone and personal enquiries to the clinic are dealt with in acourteous, informative, and helpful manner by the team to promote and enhance the image of the clinic. To provide high-quality, effective, and efficient administrative support to the Director. To have due regard for confidentiality of all documentation andareas of work. To develop and manage information systems for the Clinic. To be responsible for day-to-day stock, the building and equipment maintenance issues that may arise. To be responsible for the collection and provision of statistical information requiredby the Director. To manage accurate recording and administration of Annual Leave and Sickness absences for all staff within the clinic.To be responsible for the ordering of clinic supplies within the authorisation of the budget for purchasing all materials required by the clinic as agreed by the Director. To delegate these responsibilities as required. To ensure an up-to-date supply ofclinic leaflets are available as required. To ensure administrative systems and staff work within the parameters of and adhere to legislative requirements of GDPR, Information Governance, records policy, and patient confidentiality. To be responsible for thesafe and correct use of all equipment by all members of the Service. Develop and maintain communication with people/staff on complex matters or situations.
