Job Description

As a Colleague Payments Manager your role is accountable for the overall operation of the Colleague Payments Team, covering both payroll and commission of circa 800 colleagues across the UK. The role will partner closely with our People and wider Financeteams and provide insight and challenge to the business on decisions impacting colleague payments.ResponsibilitiesLeadership

  • Lead the Colleague Payments Team, providing support and assistance and ensuring colleagues are paid accurately and on time.
  • Ensure payroll and commission errors are tracked and eliminated, both with the team and the business.
  • Identify and implement process improvements (financial and non-financial) and cost reduction opportunities within the colleague payments team.
  • Coach, mentor and develop the team to improve their individual and collective abilities.
Regulatory requirements
  • Maintaining awareness of legislative changes and advising the payroll team and people team of any relevant changes to payroll legislation and employment laws on a timely basis.
  • Ensure all regulatory requirements are adhered to including all HMRC submissions including but not limited to P32, Tax Year End reports and P11d production and communication.
  • Ensure all team activity complies with all regulatory standards, GDPR and compliance requirements relating to payroll and commissions.
Reporting
  • Ensure all reports are maintained within the systems and required reporting is delivered accurately and in line with SLAs, including Gender Pay Gap Reporting.
  • Support business and business partners with any ad-hoc payroll or payroll reporting requests.
  • Coordinate with the finance team to ensure that monthly payroll reconciliations and journals are accurate and completed on a timely basis.
  • Assist the Reward and Benefits Manager with the provision of relevant information for the regular PRC meetings.
Pension
  • Accountable for the maintenance and updates of pension schemes including auto-enrolment and re-enrolment duties.
  • Establish regular and relevant pension communications with providers and colleagues.
Systems
  • Work closely with the People Systems & MI Manager to ensure that the system (Civica) remains up to date and accurate and is being utilised optimally.
  • Organise with users and IT infrastructure for any system upgrades.
  • Oversee the testing of any system changes or updates, ensuring the changes are fit for purpose and functional before recommending a go live.
Projects
  • Manage the implementation of new payroll initiatives from inception through to implementation, working with impacted stakeholders from other departments to ensure appropriate communication and completion on a timely basis.
  • Provide financial insight and support to senior management on any colleague payment related projects.
  • Ensure any payrolls related to business acquisitions are integrated into our systems within agreed timelines.
Commissions
  • Oversee the monthly commissions payment and reporting process, ensuring commissions are paid accurately and in line with SLAs.
  • Represent finance in the monthly commission governance meetings, providing insight and challenge on commission performance against strategic business objectives.
  • Challenge senior leaders where colleague payment requests are made that sit outside our reward frameworks and commission scheme principles.
  • Work with the Reward and Benefits Manager, HR Business Partner and relevant execs in relation to any proposed amendments to commission and incentive schemes.
  • Support the Commissions Manager with the project to move all commissions in the percent to target scheme.
Experience
  • Previous experience leading a payroll team, including commissions processing.
  • In-depth knowledge/exposure to payroll/HR interfaces and systems.
  • In-depth knowledge of legislation impacting colleague payments.
  • Significant experience in processing high volume payroll.
  • Significant experience in managing a small team.
  • Proven ability to influence and drive results laterally and remotely through Finance, People and other cross-functional colleagues.
  • Experience of dealing with a range of financial and non-financial stakeholders and the ability to communicate and build relationships with each regardless.
