Job Description

Job purposeThe role holder will be required to perform reception duties, which are front of house and will include, but will not be limited to, answering telephone calls, receiving visitors, ensuring visitors sign in and out, taking messages/screening calls and keeping the reception area tidy (not cleaning). They will also be responsible fordocument control duties, which include receiving, opening and logging mail for distribution, receiving and carefully logging/stamping in/filing and distributing electronic and non electronic correspondence and drawings in a very careful, methodical and coordinated manner.ResponsibilitiesReception Duties

  • Front of house meeting and greeting of visitors;
  • Display a visual and verbal outgoing and professional image that reflects our business;
  • Answering and transferring telephone calls;
  • Ensuring visitors sign in and out and are inducted onto site;
  • Provide refreshments for meeting rooms;
  • Management of meeting room booking;
  • Keep reception area tidy;
  • Inform relevant staff of visitor’s arrival;
  • Take accurate messages and distribute as necessary;
  • Drafting of minutes;
  • Management of site stationary provisions;
  • Compile documentationfor plant and material invoices (P58s/P59s);
  • Screen unwanted callers/visitors;
  • Liaison with cleaning providers and progress any issues;
  • Document Controller Duties
  • Receive, open, stamp in and distribute mail;
  • Receive, carefully log, file and distribute electronic and non electronic correspondence and drawings;
  • Ensure electronic files and filing system is kept up to date, in order and is well managed in accordance with our Quality Assurance procedures.
  • Knowledge skills & experience
  • Experience of a similar role working on document control (using document control systems) and/or construction site reception essential;
  • Friendly and outgoing personality;
  • Professional in appearance and manner;
  • Excellent communication skills;
  • Good I.T. skills including Word and Excel;
  • Highly methodical & coordinated;
  • Accurate;
  • Able to multi task;
  • Reliable;
  • Able to work to deadlines/under pressure;
  • Keen to learn;
  • Flexible.
