Job Description

Reporting directly to the CEO the successful Executive Assistant will manage the efficient running of the CEOs office, providing all round EA support.Client DetailsThe successful Executive Assistant will have the opportunity to join, a large, successful Manufacturing organisation based in the Newport area.DescriptionThe key responsibilities of the Executive Assistant include:

  • Coordinate complex scheduling and extensive calendar management and all associated arrangements to ensure the smooth running of scheduled and to optimum effectiveness of the CEOs time, to include agenda, briefing materials, packs, travel and refreshments
  • Monitoring and prioritising incoming mail/emails/ calls on a daily basis, dealing, responding and redirecting as appropriate
  • Preparation, including design where appropriate and production of presentations, correspondence and reports / background research as required
  • Preparing of meeting material as well as attending meetings to take the minutes / actions when required and following up prior to the next meeting Additional description
  • Maintaining control of CEO budget, process invoices and monthly expense claims for the CEO and their direct reports, ensuring the expenses policy is adhered at all times
  • Meeting and greeting of visitors and arrangement of catering as required
  • Arranging monthly employee communication sessions maximising attendance with employees from across the business.
  • Attending to take minutes and follow up on actions as required
  • Management of short term visitor reporting requirements for any overseas visitors, completing annual tax returns as appropriate
  • Skilled at planning and arranging complex travel to include booking travel to include flights, taxi and hotels for Executive Team and for others across the business as required
  • Responsible for the monthly preparation and presentation of the Business Performance Pack to include ensure all data is provided and the presentation is prepared
  • Support the communication teams with organising events
  • Maintain Executive team electronic folders
  • Provide strong support in administration
ProfileThe successful Executive Assistant will have:
  • Experience of working at board level
  • Excellent IT skills - Microsoft office, PowerPoint, excel, word, outlook and WebEx
  • Strong writing and proof-reading skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to work autonomously with a flexible and enthusiastic approach prepared to get the work done that is required to ensure the business meets its business objectives
  • Motivated, stress resilient, working with utmost integrity at all times
