Job Description

Document Production TechnicianJackson Hogg is looking to recruit a Document Production Technician for a global law firm based in Newcastle.Specific responsibilities include:Technical ability

  • To produce and amend lengthy and complex business critical documents with speed and accuracy, in line with our house style
  • To proofread and check all work for spelling, grammar, formatting, presentation and sense
  • To be a highly knowledgeable user of key software packages (i.e. Word, PowerPoint, Excel, Visio and Outlook) and take responsibility for any training needs to improve relevant skills needed to meet the needs of the business. This includes working towardsachieving Microsoft Office Specialist (MOS) qualifications in the key applications
  • Experience in creative thinking to assist in the redesign of layouts in PowerPoint and general problem solving
  • To be proactive in learning new skills and technology within your role to support the needs of the business
  • To proactively work with other members of the team to make sure relevant documentation is produced to meet internal and external clients expectations and deadlines
Administrative skills
  • To maintain and update entries on the DP team tracker and the teams BigHand workflow
  • To take responsibility for logging incoming work in conjunction with other team members
  • To take responsibility for ensuring that each piece of work is correctly saved and accessible by the requestor, logged and returned to the sender with the appropriate communication
  • To attend and contribute proactively to meetings convened during operational hours
  • To carry out other ad-hoc support when needed i.e. photocopying, scanning
Professional skills
  • To be proactive in clarifying instructions from fee earners/manager should they be unclear or if deadlines are not made explicit
  • To respond to internal and external telephone enquiries politely and professionally
  • To support other members of the team and to provide cover as and when necessary to make sure that work is completed to a high standard and meets the required deadlines
  • To make sure that there is an effective and efficient handover of work between shifts
  • To carry out any other duties as reasonably requested
General approach
  • To show a positive and can-do approach and interest in the work that the team undertakes
  • To show initiative when responding to queries and to actively try and seek solutions to problem documents
  • To proactively share information in relation to document best practice or fixes to document problems, consistent with the teams overall aim for excellence in accuracy and efficiency
  • To support and build working relationships with the team and to actively work for the interests of the whole team
  • To be flexible in meeting the needs of the team and the business - e.g. occasional shift changes (with reasonable notice) to accommodate team meetings, training sessions, support requirements etc.
  • Reliability and punctuality are also key to enable the team to operate effectively
  • To be confident working on own in the office, liaising with other teams members via phone and zoom
Skills and Experience Required
  • Established document production experience in a fast paced professional services environment using templates and House Style with exposure to working with lengthy and corrupt documents
  • Excellent accuracy and attention to detail
  • Typing speed of at least 65wpm and proficient in both audio and copy typing
  • Proficient user of Word, PowerPoint, Excel and Visio 2016
  • Experience of working on and problem solving corrupt documents
  • Experience of using PDF Docs, Adobe Pro and DocXTools
  • Experience of working with scanned documents
  • Ability to work under pressure and meet deadlines
  • Pro-active and positive with the ability to build effective working relationships
  • Ability to use initiative and problem solve document queries
  • MOS Word Expert Qualification (additional MOS qualifications PowerPoint, Excel and Outlook beneficial)
  • Shares in the teams goal to provide excellent quality and efficiency of service at all times
  • Strong communication and organisational skills
