Job Description

NOW Careers are currently recruiting for an experience Admin Support Officer for their public sector Client based in NantgarwThis is a full time, temporary post running initially until 31st March 2023Pay rate: £12.25phHybrid working (2 days in the office, 3 days working at home, but may change to 3 days in the office and 2 days at home - depending on business needs)Working hours: Monday - Friday with flexible hours between 7am and 7pmSummary of role:

  • Provide a comprehensive secretarial / admin support service including diary management, arranging meetings, service meetings including taking minutes, prepare reports, documents and other correspondence as required.
  • Arrange meetings, undertaking preparatory work as required to develop agenda and papers, take minutes, produce minutes, and monitor follow up actions.
  • Review correspondence as required, determining and ensuring appropriate actions, identifying areas of concern and ensure that they are aware of such matters and that they are being handled in accordance with agreed protocols.
  • Exercise judgement and discretion in the day-to-day handling, monitoring, and filtering of the diaries of others arranging and re-arranging meetings as required and resolving enquiries.
  • Ensuring workload is managed effectively and demonstrating flexibility in thinking, openness of mind and readiness for frequent change.
  • Assist the department in general administration and secretarial duties always ensuring a professional and confidential service.
  • Provide and coordinate administrative and secretarial services including for example, the preparation of agendas and minutes, and any appropriate follow-up action as required. In
  • provide project support and be responsible for managing database
  • Support the team with the management of projects by gathering information, analysing and presenting information, and undertaking enquires as and when is necessary.
  • Support the team in setting up key events and meetings, including advertising, management and communication across a range of stakeholders.
  • Manage own workload in response to changing developments, referring to manager, senior team or stakeholders when needed, and highlighting where actions are required outside own area of responsibility.
Skills Requirement:
  • Proficient in the use of Microsoft Office applications
  • NVQ 4 Diploma in Business and Administration or the equivalent qualification and experience
  • Experience of working in a clerical role including organising meetings, preparing agendas, minutes, presentations and reports
  • Demonstrates a high level of organisation in approach to tasks
  • Able to generate a series of options in response to problems and take a logical approach to solving problems.
