Job Description

Here at the Coal Authority, we have a fantastic opportunity for aRegistration Process Coordinatorto join our team.You will join us on a full-timebasis,and in return, you will receive a competitive salary of £25,901- £28,779per annum.Vacancy DescriptionWe encourage applicants from anywhere in the UKas long as youre able to be in the Mansfield office for a minimum of 1-2 days a week and attend our regular team meetings in person, we embrace a hybrid working model as much as possible.We offer different ways to work flexibly, including flexible hours, working from home for part of the week. However, some office attendance will be required, for example, for the purposes of collecting post, printing, training and performance monitoring.Please feel free to talk about what flexibility means to you at your interview.About the Registration Process Coordinator role: The post holder will lead on the timely and accurate registration of statutory consultation requests in line with agreed procedures. The post holder will oversee related processes including coordinating the work undertaken by other members of the registrationsection of the Planning team to ensure the appropriate entry of data onto all Planning related information systems. The post holder will demonstrate due regard for statutory deadlines, data requirements and agreed priorities, including helping to provide relevantguidance and training as required to other team members.Responsibilities as ourRegistration Process Coordinatorwill be to:

  • Manage the Planning teams statutory email inbox and other correspondence received, including the dissemination of telephone and written enquiries to relevant team members
  • Lead on the validation and registration of incoming statutory consultations in a timely and accurate manner following approved procedure
  • Oversee and coordinate the contributions of other registration personnel, with appropriate regard for quality and performance, including the downloading and entry of relevant Planning data onto corporate records management and GIS systems in line with proceduralrequirements. To manage those systems accordingly
  • Provide associated training and guidance to registration team personnel to meet team priorities as agreed with line managers.
  • Provide an initial point of contact for internal and external stakeholders relating to statutory planning consultations and general planning enquiries
  • Manage and coordinate inputs into the Planning workflow process including the progress of reports through Mining Information
  • Ensure and manage the timely notification of local planning authorities where inadequate information has been provided to enable the processing of consultation requests and where we have been consulted on exempt developments
  • Advise line managers of any technical or other problems that become apparent in registration processes and contribute as appropriate to their resolution
  • Coordinate and manage the appropriate filing and archiving of information received by the Planning team
  • Log ICT change requests and follow progress.
About our Registration Process Coordinator:Candidates should demonstrate in their application how they meet the following essential criteria:
  • GCSEs / O levels or equivalent to include English and Maths at Grade C or above
  • Demonstrable general knowledge of the Planning system
  • Experience in a Planning related technical or administrative role in a Local Planning Authority (or equivalent public body) involving validation, data processing and records management
  • Experience in providing a fast-paced and professional front line customer-service, including handling general enquiries
  • A desire to learn with continuous improvement in mind and the ability to respond positively to constructive criticism from colleagues.
