Job Description

Here at the Coal Authority, we have a fantastic opportunity for anAdministration Officer(Planning & Development) to join our team.You will join us on a full-timebasis,and in return, you will receive a competitive salary of £19,137 - £21,264 per annum.Vacancy DescriptionWe offer different ways to work flexibly, including flexible hours, working from home for part of the week. There are a number of benefits that youll access being a part of our inclusive team including 27.5 days of holiday (with an additional 6 days flexitime), an option to work in a hybrid way, a great civil service pension scheme, generous gym membership contribution, and support for your professional membership.About the Administration Officer role: You will undertake the timely and accurate registration of consultation requests in line with agreed procedures to fulfil the Planning teams statutory requirements in the course of its duties to manage the legacy of past mining activity. You may also beinvolved in the registration of consultation requests for the chargeable pre-application planning advice service to developers and will act as an initial point of contact for internal and external stakeholders regarding statutory and other Planning consultations.Responsibilities as ourAdministration Officerwill be to:

  • Validatingand registering incoming consultations, including downloading and entry of relevant data onto corporate records management and GIS systems in line with procedural requirements.
  • Assisting the Technical Officer in the maintenance of records for the chargeable pre-application advice service and associated processing of payments in liaison with the Finance team.
  • Handlingincoming telephone or written enquiries and supporting information, and disseminate as appropriate to relevant team members.
  • Advisingthe Technical Officer and appointed line managers of any technical or other problems that become apparent and to assist with the resolution of such matters.
  • Undertakingsuch additional duties, including support for team meetings, performance monitoring and associated reports as may be required.
  • Contributingto departmental and inter-departmental projects, as the Authority may reasonably require from time to time.
  • Assisting with filing and archiving information.
  • Carrying out document preparation, managing incoming post and any other related administration as required.
  • Providingeffective customer care and support to external and internal parties.
  • Seeking opportunities for improved efficiencies in working practices and discussing any suggestions with the Line Manager.
  • Logging ICT change requests and following progress.
About our Administration Officer:Candidates should demonstrate in their application how they meet the following essential criteria:
  • GCSEs / O levels or equivalent to include English and Maths at Grade C or above.
  • Relevant prior administrative experience in processing data, handling customer enquiries, the use of database and GIS systems, and record keeping.
  • Experience of using Microsoft Office products
  • Good communication, interpersonal and telephone skills
  • Ability to work as part of a team
  • Ability to work to tight deadlines
  • Ability to prioritise tasks
