Job Description

Sub-Contractor Support CoordinatorHours: 37.5Department:OperationsMain Location: MagorResponsible to: Sub-Contractor ManagerDetails of Subordinates: NoneJob Purpose:The Sub-Contractor Support Coordinator will assist the Sub-Contractor Manager in identifying global Sub-Contractors, assist with selection and evaluation (covering the managed services and project business). Support on-boarding new Sub-Contractors into the local markets to ensure operational readiness. The role is also responsible for assisting in the evaluation of sub-contractor capacity against target plans, assisting with the planning the delivery of any specific training to meet customer scopes of work. Assist with the compilation of regular reports which identifies Key Performance Indicators/Service Level Agreement performance on a regular basis and SHEQ compliance.The Sub-Contractor Support Coordinator will work closely with the Sub-Contractor Manager and Procurement/Commercial on closing contractual agreements to drive the optimum cost/service model for Indigo. Additionally, the Sub-Contractor Support Coordinator will support the Sales and Business Development organisation with collating requirements and then work with the Sub-Contractor Manager to identify costs and capabilities when responding to bids and opportunities.Principle Accountabilities / Objectives:Sub-contractor identification, selection and on-boarding:

  • Assist with Identifying suitable sub-contractors on an ongoing basis to support the current and future operational needs of the business;
  • Assist with the general evaluation of sub-contractor, based on but not limited to financial performance, capacity and experience, H&S track record and quality performance;
  • Maintain sub-contractor service requirements documentation (based on customer requirements), including Scope of Work (SoW), specifications, MOPs, acceptance procedures/handover documentation, H&S/quality requirements;
  • Assist with ensuring sub-contractors are "operationally ready" to deliver services.
  • Agree an annual audit schedule with subcontractors
  • Maintenance of compliments/complaints register
  • Host regular group resourcing meetings ensuring all departments are represented
  • Sub-contractor Training & Certification:
  • Manage any administration associated with the induction of new subcontractors;
  • Maintain up to date "Qualified Persons List" (QPL) and ensure this is always available to the resourcing teams;
  • Demand Management:
  • Assist with the collection and maintenance of a forecast for all sub-contractor activities related to Projects and Managed Services;
  • As required compile demand requirement and plans from Projects and provide sub-contractors with the current view on forecasts during ORMs;
  • Sub-contractor Governance:
  • Support the sub-contractor governance process;
  • Minute the regular Operational Review Meetings (ORM), monitor actions and drive continuous improvements;
  • Manage the administration associated with sub-contractor phase out/exit process, if required;
  • Health & Safety:
  • Record sub-contractors’ Health & Safety track records;
  • Identify to Sub-Contractor Manager when non-conformances occur;
  • Administer HSE Audits.
  • Competency: Skills / Knowledge / Qualifications:Skills/Knowledge:
  • Has very broad administration experience;
  • Broad level of commercial and financial awareness;
  • Must be an excellent communicator and networker’, with the ability to work with, and be respected by both sub-contractors and internal operational units;
  • Excellent presentation skills and self-assured in contact with customers and internal resources;
  • A self-starter, requiring little or no supervision with a positive attitude and outlook;
  • Ability to take ownership of an issue and see things through to the end;
  • Ability to prioritise and co-ordinate many activities simultaneously;
  • PC literate, especially Microsoft Office suite;
  • Trustworthy and honest;
  • Full EU Driving licence essential.
  • Qualifications:
  • Degree or equivalent education (training and/or experience);
  • General:
  • Willingness and ability to travel regularly throughout the UK, Europe and further afield where required
  • Competence in a second languages would be a benefit
