Job Description

Office Administrator - £20k -MacclesfieldThe RoleDo you possess previous administration experience, coupled with an understanding of Business Quality Management Systems and the ISO 9001 Aims and Ethos Are you computer literate and proficient in Microsoft Office packages If so, we have an exciting opportunityfor you.We are a leading global leader of researched, tested and proven engineered efficiency solutions for the life sciences sector, looking to appoint an experienced Office Administrator to help support the delivery of our operations and assist with the runningof our Macclesfield head office.Key ResponsibilitiesThe key responsibilities of an Office Administrator include, but are not limited to:

  • To be the focal point for all international travel arrangements, knowledge of restrictions and testing requirements, booking of flights and all other associated aspects.
  • To provide support to the management team in delivering the regular needs of the Quality Management System in line with ISO 9001 requirements.
  • General day to day administrative tasks, monitoring and ordering of office supplies etc · Ownership and maintenance of all meeting rooms and other resources.
  • Assist with preparation and production of presentation material.
  • Maintain and update project specific, supplier and staff information on internal databases.
  • Auditing project files and technical library organisation including archiving.
  • Organise events, webinars, workshops and training as required.
  • Ownership of the office 5S and other initiatives.
  • Assisting with other ad hoc duties as required.
  • Administering Customer and Vendor Contracts, Customer data/on-boarding information to assist sales team.

The PersonThe key skills and qualities of an Office Administrator are:
  • Previous experience working in an office environment with ownership of systems or processes.
  • Ability to autonomously organise data and people.
  • Able to operate the following software to the examples given.
    • Microsoft Excel – Competent user being able to create charts, sort, transfer and organise data.
    • Microsoft Word – Use of correct headings, comments, tracking of changes, printing.
    • Microsoft PowerPoint – Management of master slides, updating of hyperlinks and General organisation of slides and content.
    • Microsoft Teams – File management and permissions, Teams meetings organisation, Tasks by planner.
    • Excellent administrative skills.
    • Excellent organisational skills
