Job Description

COR030 - Assistant Workplace ManagerLocation: LiverpoolContract: Permanent, Full TimeSalary: Grade 4: £25,332 - £30,673 per annumThe Property Services department at the RCP has an exciting opportunity for an Assistant Workplace Manager to join their team. With a brand new sustainable 160,000ft building called the Spine, the role of the Assistant Workplace Manager involves supportingbuilding occupants for the Royal College of Physicians demise which consists of approximately 74,000ft and visitors to the RCP and ensuring the Spine remains safe, compliant, fit for purpose and flexible to meet changing demands through delivering an excellentcustomer experience and be a focal point of customer services contact and communication to colleagues, stakeholders and suppliers.The role is in the Spine, which is a new and exciting development in Liverpools Knowledge Quarter, which is part of the regions major regeneration project in partnership with Liverpool City Council.Opened in April 2021, it is be one of the UKs few joint WELL Platinum and BREEAM Standard buildings by way of environmental qualities, structural and technological design, and an iconic landmark in the Liverpool region.Responsibilities will include:

  • To ensure a high customer experience standard is maintained within the demise and be a main point of contact on behalf of the Property Services department with communications to stakeholders, suppliers, RCP colleagues, the landlord and building userswithin the Spine and London
  • Supporting the Workplace manager and be a main building user/sub-tenant/contractor/supplier and landlord liaison point on behalf of the RCP in the Spine, particularly around support services including access control, event support, cleaning, mail/goodsin, parking, waste management, porterage, security, service issue resolution and maintenance requests, ensuring the building meets a high standard and user experience
  • To manage The Spine operational budget, report on variances and ensure value is sought in line with procurement best practice
  • Be responsible for departmental procurement, raising purchase orders with suppliers and ensuring that the Purchase Ordering Platform system is updated and in line with operating procedures
  • To manage and ensure property related communications including internal intranet content including Environmental, Staff and Communications pages are current and relevant for building users
  • Support the Workplace Manager to ensure the efficient use of space within the Spine including relocation projects, space planning, quarterly occupancy surveys and liaison with other departments i.e., IT/AV & Service provider to ensure moves are undertakenefficiently
  • To ensure the Spine retains high level of environmental standards and best practice and as such will be actively involved in ensuring the RCP retains its highly valued WELL Platinum accreditation.
About you:We are looking for a highly organised, numerate, solutions focussed individual with a commitment to quality and excellent customer service who has experience in a similar role. You will need outstanding organisational skills and the ability to liaise andcommunicate confidently with a range of people at all levels. Experience of planning and working to deadlines, using your initiative, and working flexibly as a member of a busy team located over two sites are also essential qualities.About the Property Services departmentThe Property Services Department has evolved in recent years in line with the changing face of modern estates management and have successfully introduced working practices including new ways of working integrating the latest communications technology andspace management to improve workplace efficiency. The executive board of the RCP are committed to ensuring a programme of continued investment in the estates infrastructure as well as introducing modern working environments for employees. With this in mindthe Property team are committed to delivering a 5 year estates strategy to provide an attractive and modern environment in London and Liverpool.With a grade 1 listed estate footprint in London covering approximately 90,000ft, coupled with this exciting new project just opened in Liverpool called the Spine, the Property department process a high volume of customer service requests per week and managenumerous small works, major and minor projects to ensure the built environment remains safe, compliant, fit for purpose. The team takes a flexible approach in order to meet changing stakeholder demands. The department has also pioneered new flexible workingprocesses and a purchase ordering and software platform in recent years.Benefits
