Job Description

Reed Talent Solutions are working with a Local NHS Trust in Leicestershire on the search for 4 Medical SecretarysThe Business Support Assistants will be working across the Trust in Various different departments proving major support in administartion and business tasks . The role will be critical to ensuring the department and the Trust runs smoothly and efficientlyby responding to the changing needs of the business through innovation and a willingness to help others.The Medical Secretary will provide a comprehensive business support service that ensures a high standard of accuracy and efficiency, using initiative to meet the needs of a range of internal and external customers through specialist IT skills, organisingand servicing meetings, supporting events and a range of other admin systems and processes.Role Information:Medical SecretaryDuration - 3- 6 monthsPay rate - £10.49 per hour (dependent on experience )LocationsLeicester City CentreWigstonLoughboroughThurmastonAnstyGlenfieldEnderbyKey Responsibilities:

  • Provide typing and data processing support using a range of IT systems
  • Specialist word processing such as mailshot and reports
  • Organise meetings and support events, ensuring they are arranged and prepared for in a timely manner and are serviced and recorded appropriately through accurate minutes
  • Accurate and timely documents are produced and formatted to service standards and within deadlines
  • Effective stock management is maintained, and orders placed and processed using the Local Authoritys ordering systems
  • Undertake project work (under supervision) as required
  • Ensure reception, kitchen areas and meeting rooms are kept tidy and stocked appropriately, liaising with the Facilities Manager and Cleaning Services as needed
  • Provide a comprehensive reception service, including meeting and greeting, responding to enquiries, and reporting arrivals to the appropriate officer
  • Ensure enquires are responded to sensitively and resolved appropriately directing more complex calls to the appropriate officer
  • Provide a post, scanning and indexing service, ensuring accurate distribution throughout the office, liaising with Document Solutions where needed
Requirements:
  • Knowledge of a range of IT systems including Microsoft Office, Visio, Prezzi, SAP, and/or email systems
  • Proven track record of delivering a responsive business support service including organising and servicing meetings
  • Good team working skills with the ability to work effectively as part of a team coupled with the ability to work on ones own to achieve results
