Job Description

BID COORDINATOR IRLAM, MANCHESTERSALARY UP TO £37K DEPENDING ON EXPERIENCEOur client is a privately owned company established in 2007. They offer bespoke engineering solutions to clients across the UK and Ireland who seek an innovative approach to the construction and maintenance of transport infrastructure. Their highly skilledteams have the knowledge to support the broad spectrum of transport networks keeping the country moving. This includes various specialist disciplines across the Civil Engineering, Airport, Power and Railway sectors. Their dedicated divisions cover Civil Engineering,Airports Infrastructure, Power & Communications, Rail Systems (Electrification, Permanent Way, Communications), Plant & Transport.They are strategically located in order to offer a truly multi-disciplinary engineering service to clients across the UK and Ireland. Their main depots are located in London, Manchester and Letterkenny with further regional offices in Doncaster, Bristoland Dublin.Job DescriptionOur client is looking for a Bid Co-ordinator to join their busy bid department based in Irlam, Manchester. Working closely with the Bid Manager and the team, the position will be key to providing a professional and efficient service to the team, in supportof PQQ’s, Supply Chain enquiries, Bids and Tenders. The candidate will have a collaborative approach and will require a high standard of communication and writing skills.

  • The primary responsibility will be to co-ordinate the quality element of bids, working in partnership with the Bid Manager. They will also be expected to liaise with the Estimator, co-ordinating enquiries as necessary.
  • Support the Bid Team on concurrent bid submissions and PQQ’s by supporting, formatting and publishing high quality bespoke bid documentation and proposals incorporating all current Company Statements and Standards in a timely manner to allow sufficienttime for quality editing/review and delivery to clients.
  • Offer creative ideas to the bid preparation process.
  • Support Business Development strategies in the region including researching the market for new Opportunities.
  • Maintaining professionalism and an ability to work flexibly when dealing with multiple requests simultaneously.
  • Support the production of pre-qualification questionnaires.
  • Draft and type bid materials as directed by the Bid Team, including proofing elements of a bid and redrafting/reformatting others.
  • Ensure that bid materials are formatted (grammatically, writing style, format/layout) in a professional, appropriate and cohesive style in all bids.
  • Format the proposal using all relevant software, including Microsoft Office, Adobe, InDesign to ensure that a professional document/submission is produced.
  • Support delivery of completed documents to clients etc.
  • Assist in the upkeep of the Bid Library.
  • Access and download tender documentation via clients online portals and distribute to key Bid team members, check live bid portals and update the bid team.
  • Liaise with operations personnel to update and format CVs in line with specific bid requirements and produce Project Organisation Charts.
  • Liaise with suppliers to obtain information/CVs to support bids.
  • Assist with the preparation of bid presentations, meetings and produce minutes.
  • Assist in the co-ordination sub-contract/supply chain enquiries as required by the Estimator.
  • Assist with the development of (and present to the Bid Manager for approval) information including technical responses, staffing and administration structures for bid/PQQ preparation.
  • Ability to work on multiple bidding opportunities at once and meet stringent deadlines.
  • Support with the development and production of Case Studies for recent projects.
  • Identifying contract opportunities using on-line journals
  • Preparing letters and correspondence to suppliers to obtain information required for the bidding process.
  • Submitting bids to customers in a timely manner.
The successful Bid Co-ordinator would preferably be:
  • Educated to degree level or equivalent.
  • Experience working within the Civil Engineering & Rail sector.
  • Experience working on tender submissions, PQQ’s and EOI’s.
  • Experience within a bid environment.
  • Interest in and/or knowledge of the transport sector.
  • Excellent communication skills, both written and verbal.
  • Good office skills including typing, filing and accurate record keeping.
  • Possess excellent IT skills (Word, Excel, Outlook, PowerPoint, InDesign (preferable but not essential).
  • Fluent use of business English, both verbally and in writing.
  • An energetic, fast learning, can-do’ attitude.
  • Good attention to detail.
  • Works well in a fast-paced environment, with the ability to thrive under pressure and work to tight deadlines.
  • Ability to build and maintain strong, lasting relationships with clients and stakeholders and understanding their needs.
  • Good presentation skills.
  • Innovative approach to problem solving.
  • Self-motivated and able to work with the minimum of supervision.
