Job Description

CASCO Pet is a global business specialising in pet and aquatic shop fitting and revolutionary veterinary clinical housing with manufacturing and sales operations around the world. Established in 1997, our Head Office is based in the UK with offices across Europe (Germany, France, and Portugal) and the USA and Australia.The role of Administration Assistant requires a proactive and enthusiastic individual to provide efficient, professional, and comprehensive administration support to the Helpdesk, Sales and Finance departments. This is an extremely busy role where you will be required to undertake all areas of administration in this dynamic and fast paced global operation and to work with the team to ensure tasks are completed efficiently and accurately as required.Key accountabilities - main areas of responsibility

  • Act in response to incoming customer enquiries received via telephone and emails
  • General administration support leading to creating orders and shipments
  • Assist with maintenance and wellbeing of livestock
  • Book and track shipments and collections
  • Update Service desk with installation information
  • Maintain and update new and existing customer information to Salesforce Sales Cloud and Service Cloud CRM and Sage X3 ERP. Ensure accuracy of data, through liaison with other departments
  • Liaise with Sales team to ensure Installation calendar is updated regularly
  • Manage inbound phone calls, diverting calls to relevant parties or gatekeeping as required
  • Continuous review of messages on Live Chat platform with timely responses to meet KPIs
  • Log, track and process for the reversal of incorrect installation technician site charges
  • Edit and distribute reports to assist various departments
  • Monitor customer’s inbox for updates on on-going projects and distribute or action
  • Co-ordinate information between customers and Production team
  • Check to ensure each project portfolio is up to date with required documents and information
  • Respond to customer sales enquires via telephone, emails, LiveChat and web, taking actions required within required timelines
  • Monitor forecast on Salesforce Sales Cloud CRM system for all sales team members and highlight when projects need updating
  • Spot check European sales team entries for error prevention
  • Assist with customer account queries
  • Assist with documentation related to goods received
  • General admin duties as required including but not limited to booking accommodation and travel, update of maps, assisting with preparation of paperwork, raising purchase orders
  • Qualifications/Experience
  • At least two-years experience in a customer service or administration role
  • Educated to A level standard or equivalent
  • Experience of using Microsoft Office Suite
  • Required Skills

  • Excellent written and verbal communication skills

  • Due to the diverse markets CASCO operate in, additional languages would be an advantage
  • Experience of Salesforce Sales Cloud CRM and/or Service Cloud system would be beneficial
  • Experience of working with sales teams beneficial
  • Animal and/or Aquatic knowledge desirable but not essential as training will be given
  • Experience in the animal/pet industry desirable but not essential
