Job DescriptionJob Title: Administrative Officer Term time only Monday to Friday 8.30-4pm £16,000 paWorking with the Head Teacher and the School Business manager school/Governors and in accordance with the policies and The School Administratorwill be the first point of contact for all visitors and telephone callers to the School and will provideadministrative support to members of the school team as required.Reception Providing a warm welcome for parents, visitors and colleagues and deal with their requests in an efficient and professional manner Answering the telephone in a friendly, professional and efficient manner Managing the schools main inbox, replying, forwarding messages and making appointments Managing the signing in and out/monitoring the entry of all persons/visitors to the school , checking DBS details where appropriate and ensuring an appropriate form of identification is given to all visitors Advising and assisting parents with urgent sensitive issues and make arrangements for them to see a senior member of staff where necessary Receiving and distributing post and in a timely manner Providing support for meetings including, but not limited to, providing refreshments and clearing the room after the meeting has endedAttendance Support To ensure all registers are completed and no missing marks or unexplained absences remain. To check and remind any necessary staff to complete registers. To ensure all unexplained absences are accounted for or send letter requesting an explanation. To maintain register records and ensure accuracy and correct coding Communicate with parents and carers with regards to absence and requests for absence To collate information with regard to the attendance of children who may be experiencing attendance difficulties in order to inform school, Education Welfare and parents/carers. To produce and interpret information relating to attendance patterns. To provide updates for staff on childrens attendance. To monitor the attendance of vulnerable groups of students and liaise with SEN To undertake first day response in line with the schools Attendance policy. To collate, maintain and update attendance data monthlyFinance Support To assist with the purchasing of goods and services required by the school including producing purchase requisitions, entering data on the FMS finance system and placing the order as required To assist with ensuring that invoices received are checked against the purchase order for accuracy and entered onto the FMS finance system in readiness for payment.Administrative Support Providing administrative support to the school Head Teacher, Senior Management Team and Teachers as and when required. Receiving and checking stock orders by matching Delivery Notes with Purchase Orders and informing the School Business Manager of any discrepancies including chasing up missing items, returning damaged items etc Producing and distributing letters and correspondence to parents using ParentPay and SIMS Parent Maintaining the parent contact sheets Assisting with arranging trips, events and other activities, including booking transport and venues and setting up the payment in ParentPay
