Job Description

Estate Office AdministratorJob details:Hours: MonThurs: 08:3016:30 | Fri: 08:3013:00Start Date: ASAPContract: Temporary, initially 23 months with a permanent role available.Location: HammersmithSalary: DOEThe Role: Provide comprehensive administrative support to the Board of Directors, with a particular emphasis on repairs, maintenance, and financial issues. The office covers the local area, a private residential estate at the former site of a School, and local toboth, Hammersmith station and Barons Court station.The administrative work will focus on responding toqueries and requests from residents, visitors, and staff, whilst maintaining an outstanding level of professionalism and customer service. In this role you will engage with the residents frequently, andthus will have to maintain an effective and friendly working relationship with them, and with colleagues.You will be working in a lovely estate set away from the main road, with a long-standing team of passionate and friendly directors and staff. Overseeing the office administration for a variety of properties, from 1-bed flats to 4-bed townhouses, you willideally have experience working in residential estates or with property administration. A mature, diplomatic, efficient, and friendly individual would be a perfect fit for this role, as you will be reporting directly to the Board or to individual directors.Duties:

  • Manage the post, escalating to the Board of Directors where necessary
  • Answer calls and queries for repairs and maintenance, assisting with problems as and when they arise
The estate has a small team of in-house contractors, plumbers, and repairers who you will frequently liaise with for these issues
  • To alert the Board to problems with leaks, lifts, lights, drains, security, and other repairs and maintenance issues
  • To obtain signatures for invoices and pass these on to the accountant, maintain the estate expenditure records, and ensure the Board is informed of these costs
  • To ensure the paper and electronic records are kept up to date and stored securely, in line with GDPR
  • To order supplies for the office, cleaning, and gardening
  • To assist with a variety of document work, filing, and related tasks, such as monthly updates on work done, outstanding problems, processing and tracking of legal documents, and processing subletting licenses including applicant references
Ideal candidate:
  • Someone with at least 15 years experience within business support roles
  • A background in maintenance administration would be beneficial
  • Excellent communication skills both written and verbal
  • Someone who is comfortable working in a standalone role
  • IT skills
  • Customer service experience
