Job Description

We are an award-winning company and one of Europes leading designers and manufactures within the engineering sector. We employ over 220 staff in the UK and Overseas and due to increased workload, we have created a new role within the operations teams, seeking a Shipping and Despatch Administrator – Import and ExportWorking closely with the despatch and operations teams, you will be responsible to ensure customer orders are despatched correctly, on schedule and with appropriate commercial documentation for domestic and international delivery. You will therefore have experience of both import and export documentation and processes on an international stage, as well as UK and Europe.Based at our head office in Frimley, you will be working Monday-Thursday 8.30am-5pm and Friday 8.30am – 4pm. We offer a salary of up to £30k plus profit share scheme, free parking, personal pension, and 24 days holiday. Our offices and manufacturing site have expanded substantially over the last decade and so we can offer a stable employment with plans for further growth.Reporting to the Despatch and Goods In Team Leader and Operations Manager the key focus of the role is to ensure the smooth shipment of goods for on time or early delivery, ensuring available stock is checked and the relevant courier organised, with all document completed. To achieve this, you will have key relations with sales, despatch, and sales administration as well as your customers and suppliers and freight forwarders, Hauliers and Couriers. The key duties for the Shipping and Despatch Administrator – Import and Export will involve:

  • Check system and Excel reports daily for order that are due to ship or can be shipped early.
  • Assemble’ available physical stock and completed ‘works orders’ to commit to unique delivery numbers. Consolidating order where appropriate.
  • Organise transport and shipping within the UK and internationally. Follow customer or country specific requirements. Quoting or selecting the most appropriate or economical transport methods.
  • Provide freight quotes to customers or other departments, in advance of shipping.
  • Process ‘despatches’ on the systems, creating delivery notes, commercial invoices, EUR1’s, labels, and any country specific export paperwork, when required.
  • Post-despatch’ check consignments, ensuring prompt collection and smooth transit.
  • Respond to enquiries from customers, carriers, or colleagues, relating to shipping matters or problems.
  • Export and Import processes
  • Checking the approving carrier’s invoices, querying discrepancies when necessary
  • Support the rest of the team or undertake other reasonable tasks relating to the role.
  • Adherence and compliance to ISO standards
  • Adherence to health and safety requirements.
  • To be successful for the Shipping and Despatch Administrator – Import and Export role you will have a minimum of 3 years’ experience working within a customer service and administration role within the manufacturing and shipping industry, as well as having a good understanding of logistics, Import and Export processes and record keeping. It is essential that you have familiarity with International trade documentation and declarations as well as an understanding of Incoterms and worldwide transportation. You will need to be computer literate with knowledge of a CRM system and an understanding of ISO9000.This is an exciting new role for an experience individual to assist with the operations and movement of goods, making the role their own.Please note with current covid guidelines in place, this role would be working remotely from home initially with one day in the office. Albeit this will return to an office-based position when safe to do so.
