Job Description

Administrator (Part-Time - Hybrid)Reference: OCT20228341Location: Exe Estuary / Aylesbeare Common Salary: £19,305 - £21,400 Pro RataHours: Part time for 30 hours a weekContract: PermanentBenefits: Pension, Life Assurance, 26 days annual leave pro/rataWere looking for a highly effective and self-motivated administrator to deliver high-quality support for our two reserve operations in Devon and our wider West Country team.The role will be mainly focused on supporting the Devon reserves team looking after nature reserves in North and East Devon and having a large presence around Exeter, on the Exe estuary & beyond. You will also be providing occasional support to our teamwho deliver our wider RSPB work in the West Country.The role is varied and involves working across a range of tasks. You will have the freedom - and responsibility - to prioritise your own work as you communicate with people across the work area. The role is part of a small admin team that is led by the WestCountry Area Senior Administrator.Responsibilities of the role:This role will provide a range of administrative support including but not limited to:

  • Actively working with colleagues, (especially Site Managers and Senior Administrator) to assess and agree priorities for admin support and to ensure that these are delivered through the work programme, ensuring deadlines are met whilst maintaining quality.
  • Working with the senior administrator and site managers to ensure that our offices and work bases on the Devon reserves are efficient, effective, and safe places to work.
  • Undertake negotiations with service suppliers, ensuring best value and service is provided and track contracts and payments.
  • Carry out day to day finance processes and support such as submitting expenses claims, raising purchase orders and processing invoices.
  • Support the site managers with day-to-day budget management by tracking income and expenditure, reporting and analysing financial information
  • Maintain records and have an overview of information and document management across our Devon Reserves operation
  • Ensure our systems are consistent across our site teams and work with the Senior Administrator to encourage the adoption of team collaboration tools such as MS Teams and SharePoint.
  • Organising and coordinating meetings and events - organising travel, accommodation and venues etc.
  • Ad hoc support for colleagues such as drafting letters, completing time sheets, writing up meeting notes, booking training courses, compiling reports, collating newsletters and other communications.
  • Leading and managing a small team of office volunteers to support the delivery of the work programme

What we need from youEssentials:
  • Extensive working knowledge of Microsoft Office 365 applications and tools, especially Outlook, Word, Excel and PowerPoint plus the ability to support others.
  • Knowledge of document management and team collaboration tools such as OneDrive, SharePoint and MS Teams
  • Knowledge of budget management terminology and processes
  • Able to proactively identify and solve problems.
  • Able to manage competing priorities and manage your own time effectively during periods of both low and high demand.
  • Able to communicate and engage effectively with a wide range of people whether by phone, video, email or in person
  • Able to organise and coordinate all aspects of meetings and events logistics
  • Able to deal with confidential and sensitive information appropriately.
  • Able to take meeting notes and minutes clearly and concisely.
  • Experience of working in an office or customer care environment in an administrative role
  • A minimum of 5 GCSEs, including Maths and English
  • Willingness and ability to learn new software/ skills
