Job Description

The purpose of this role is to deliver effective client sign up working closely with the team to deliver an exceptional level of customer service. Liaising with the Head of Department to arrange the daily running of the office while being responsible foroffice level compliance and assisting with team management. This is evidenced by our wellbeingoffer, our capability to facilitate flexible working and our support to enjoy a healthy work life balance.A fast paced and friendly team made up of two Directors, three Associate Directors and a Trainee Negotiator; we have a range of experiences and ages within the office making it a well-balanced, supportive and fun environment.Key Responsibilities of the RoleProvide an exceptional first impression for customers/clients when handling telephone, email and face-to-face enquiries.Responsibility for meeting office audit targets and adhering to ISO standards 9001 and 14001 and the companys Money Laundering, Health and Safety and Code of Conduct policiesLiaise with customers and clients in a professional, polite and respectful manner fitting of a Savills representative so that their experience of Savills is first class.Oversee the marketing of properties including coordinating the booking of photos, floorplans, EPCsWriting copy for brochures/property listings and compiling brochures using an online systemOrganise advertising Including social media campaigns using an online portalOrganise signage and PR as and when requiredLiaise with the sales teams to ensure the smooth sales of all properties by accurately managing the REAPIT and other IT systems (no prior knowledge of these required).Compiling monthly reports for clients using the databaseOrganising ad hoc mailoutsPayroll; timesheets, holiday, sickness report, petty cash/company credit card.Invoicing: processing other agents invoices, sales invoices, supplier invoices and managing the online purchase order systemCompliance; ensuring all files are compliant with signed terms of business etc. preparing agency agreements, gathering the correct compliance documentation for the ownership structure of the property and liaising with Savills compliance teams where required.Keeping up to date with changes to compliance requirementsResponsible for the health and safety of the office including maintaining logs, carrying out fire alarm/emergency light testing and reporting of incidents/accidentsGeneral office administration including: day to day running of the office, organising brochure cupboards, archiving files, ordering stationery, ordering merchandise, dealing with office maintenance.Diary management for negotiators, arranging appointments, viewings, market appraisals and meetings for the sales teams. Booking appointments on REAPIT.Ordering/purchasing completion gifts for sellers and buyersAssisting with the planning and orchestration of local events, including preparing guest lists and assisting with sending invitationsMonitoring and refreshing the property web listings. Maintaining the office web page.Produce weekly sales lists for the officeSet up new staff/joiners with appropriate IT and stationary etc.Skills, Knowledge and ExperienceWorking knowledge and experience of Microsoft Office applications including word, excel and OutlookAn ability to multitask in a busy environment and work as part of a team.An ability to work under pressureExcellent verbal and written communication skillsTakes pride in personal presentation Strong people management skillscan motivate team membersExcellent organisational and prioritising abilityMeticulous attention to detailAbility to work flexiblyAbility to work both as a team player and alone, using own initiativeAbility to cope with routine tasksDependableteam can rely on the job holder to produce work to deadlinesEnthusiasm to do a good jobFull UK driving licenceAssessment applicants can expect during selectionI/2 stage interviewSkills Testing (eg excel, word)
