Job Description

Administrator; Edinburgh; 12 Month contract; £16.00ph paye; 37 hours per week We currently have a requirement for a temporary administrator working at our clients site in Edinburgh.Hybrid working available. Key areas of responsibility Provide personal support to VPs Organisation of travel and accommodation arrangements Assisting external workshare partners/customers with local travel arrangements where necessary. Booking Meeting Rooms, Catering and adding visitors into the IVNS Point of Contact for Meeting rooms. Act as SAP My Time Administrator for group/floor. Chase up any outstanding SAP queries on timesheets. Organisation of internal and external meetings including Away Days. Ordering Stationery & Office Supplies Preparation of travel itineraries. Act as Expenses Delegate (VP & some of Mgmt Team) Assist with applying for Business Visas (Saudi) Preparation of agendas and other meeting documentation as required CS3 Floor Contactensuring that the office wing is kept uncluttered and tidy Custom Working moves coordinator /Smartspace Desk Booking App Administrator Act as a central point of communication for the office, distributing notices, arranging Team Briefs etc. Skills and Experience required: Excellent IT and communication skills to operate effectively with senior management and other internal/external stakeholders. Able to act on own initiative, manage own time and operate with very limited supervision. Able to identify and resolve problems and issues. Flexible and adaptive. Good organisational skills with the ability to work on own initiative and be an effective team member. Ability to manage a diverse workload of competing priorities. The ability to be proactive Demonstrate the ability to operate with tact and diplomacy, understanding the sensitivity and business confidential nature or certain material.
