Job Description

Role: PALocation: Brentford (TW8). Office basedDuration: Temporary - approx.1 monthwith possible extensionPay Rate: £17.00ph + Holiday PayHours: Monday to Friday 9am to 5pm (some flexibility required)Duties:

  • Diary management and filtering of phone calls
  • Act as first point of contact for. This includes internal and external stakeholders
  • Managing external and internal
  • Inbox management
  • Act as the out of office contact
  • Travel arrangements
  • Prepare agendas and take minutes of meetings Team meetings.
  • processing of staff development requests and the recording of staff development days. This includes effective liaison with HR when required.
  • Organise inductions and interviews, including inducting of all new staff
  • Support with arrangements for internal and external events. This includes effective liaison with Events, Web team, Marketing and internal finance.
  • Undertake finance related administration, including invoicing arrangements with external organisations and raising purchase orders for the procurement of goods and services
  • Act as a central information point for the department
  • Proceed on own initiative to seek reports, collect information as appropriate,
  • Ensure the confidentiality of records, resources and equipment.
  • Organise and manage the stationery supplies
  • Design and produce a wide range of documentation that includes data inputting and working on bids, tenders and reports.
  • As the Senior Administrator work with the team of two administrators, ensuring the daily administrative work is covered, delegating as required.
You would be both external and internal facing and as such must have excellent written and spoken skills. You must be able to work in a fast paced environment, with changing demands and be happy to muck in with all duties including making tea & coffee!
