REED Financial Services are proud to be representing a vastly experienced IFA client who are based in a stunning converted barn in the rural village of Doynton Bristol, conveniently situated just 5 minutes from the M4. Due to growth they seek an IFA Administratorto join their successful team and in return a competitive salary plus benefits can be offered plus agile flexible working from home occasionally u to 1 day per week.Title: Client Services AdministratorJob Purpose:To provide comprehensive support to the financial planners & paraplanners in providing an excellent service to clients of the firm. Manage the client review and new business processing.Key Responsibilities and Accountabilities:1. Business Processing:• Check accuracy and completeness of new business documentation• Ensure that all business applications are processes accurately and efficiently, in a compliant manner to the firms standards• Ensure all supporting documentation is maintained as per company procedures• Record fees• Ensure all work is followed up promptly in line with company standards• Send letters of authority, gather accurate information and pass to paraplanner for analysis• Obtain illustrations and application forms• Portfolio valuation production• Ensure fund switches / rebalances are carried out accurately and within company timescales• Prepare packs for potential new clients2. Client maintenance:• Provide an efficient, friendly, and professional point of contact for clients and enquiries, by phone, email and in person• Deal and allocate accordingly incoming post• Input and maintain accurate client records on the back-office system, Platform and any other IT systems e.g. cashflow & risk profiler3. Review:• Organising client review meetings by phone, email and in person• Prepare client review pack including valuations & supporting paperwork• Support paraplanner & financial planner in delivery of review• Implement agreed actions in coordination with the paraplanner4. General:• Filter general information, queries, phone calls and invitations to planners by redirecting or taking forward such contact as appropriate• Other duties as directed by managementPERSONAL SPECIFICATIONEXPERIENCEAt least 2 years experience working as an IFA administrator.At least 2 years working within a financial planning environment.QUALIFICATIONSCertificate in Financial Planning or equivalentKNOWLEDGEMicrosoft Word, Excel and electronic diary managementFinancial Services back-office systemsAdvanced ExcelKnowledge of Financial Services ProductsSKILLSInterpersonal skills to develop and maintain client trust and inspire confidence.Able to communicate effectively in verbal and written form.Highly organised, methodical and disciplinedShows initiative and takes personal responsibility for completing tasks.Able to work within defined business processes.Adopts a positive attitude, willing to assist others when busy.Able to work under pressure on occasions to achieve deadlinesAttention to detailAbility to achieve agreed outcomes without supervisionPrioritise and plan own workload
