Job Description

We are seeking a dedicated School Administrator to join our team, providing essential support across our educational services. The successful candidate will manage various administrative tasks, including inductions, attendance, transportation,and records management. This role is pivotal in ensuring the smooth operation of our school and adult learning environments.

  • Job Type: Full-time
  • Salary: £23,000
  • Hours: 37.5 hours per week – Monday to Friday, 8:30am - 5:00pm
  • Annual Leave: 25 days plus bank holidays
Day to day of the role:
  • Provide administrative support to senior management and colleagues, distributing communications as needed.
  • Create and maintain learner files, manage induction paperwork, and archive files for leavers.
  • Manage a caseload of learner reviews, coordinating meetings, taking notes, and ensuring statutory requirements are met.
  • Handle the school’s “Administration” inbox, responding to or forwarding emails appropriately.
  • Coordinate learner transport arrangements and maintain an accurate database of driver details.
  • Oversee learner transitions, ensuring safe arrival and departure.
  • Perform reception duties, including answering calls, taking messages, and greeting visitors.
  • Support school break and lunchtime operations, including cleaning and preparing refreshment areas.
  • Assist with the organisation of Trust events, ensuring they run smoothly.
  • Undertake general administrative tasks such as photocopying, filing, and completing routine forms.
  • Manage learner databases and ensure confidentiality.
  • Collate data on learner attendance for Department for Education submissions.
  • Support the admissions process by handling initial enquiries and directing information appropriately.
  • Maintain stock levels of stationery, uniform, and other items, managing deliveries and reordering as needed.
  • Provide first aid support and act as a fire warden in emergencies.
  • Promote the good reputation of the Trust and undertake any other reasonable tasks related to the role.
Required Skills & Qualifications:
  • General education to at least A-Level.
  • Proven experience in providing excellent administrative support.
  • Strong IT skills, proficient in Microsoft Office and database systems.
  • Effective communication skills across a range of audiences.
  • Proactive, logical, and able to prioritise tasks to meet deadlines.
  • Ability to work in fast-paced environments while remaining calm and professional.
  • Highly developed organisational skills and excellent customer service.
  • Good team player with a friendly approach.
  • Commitment to confidentiality and accurate record-keeping.
  • Experience in a school or care environment is desirable.
