  • To support the delivery of the EPR Programme across the three Acute Trusts.
  • To work as a member of the Programme team, the Project Support Officers prime responsibility is to provide project and organisational support to the Programme and Programme managers and the project boards.
  • The Project Support Officer will be required to take responsibility and manage designated elements of the programme, e.g. supporting, facilitating and monitoring progress of the programme and related projects.
Duties:
  • Provide a full range of secretarial and administrative duties including copy typing, word processing, generating routine correspondence, taking notes and minutes and photocopying.
  • Receive a variety of telephone calls on behalf of the Programme team using initiative to deal with matters where possible, taking messages and re-directing calls as appropriate.
  • Receive and record all incoming mail and email transmissions sifting and screening as required. Prioritise the mail, ensuring all issues of an urgent nature are brought to the attention. Delegate when necessary correspondence to other members of their teamto respond on the Programme Offices behalf. Where appropriate, produce draft responses to correspondence in liaison with other members of the team.
  • Organise and maintain diaries, electronic or otherwise. (Prepare papers for the daily appointments of the Programme).
  • Maintain a bring forward system for progressing outstanding enquiries, comments and actions. Be proactive and forward plan agenda items and supporting papers for regular meetings.
  • Maintain a comprehensive up to date filing system for the Team Management ensuring appropriate recording and storage of all types of information, paying due regard to data protection legislation and NHS Guidance.
  • Co-ordinate, administer, and facilitate the arrangements for and during meetings/workshops including typing the final reports.
  • Prepare, collate and circulate papers and reports for meetings. Attend meetings to take minutes and transcribe minutes within agreed timescales. Implement and co-ordinate actions from meetings on behalf of the Team Management.
  • Arrange meetings, visits, assessments and appointments both within and external to the Trusts. Arrange travel and accommodation for people within the EPR Programme
  • Arrange events such as workshops and seminars obtaining costings, arranging venues, information packs and attend to provide organisational and administrative support as required.
  • Maximise the use of available information technology to produce reports, graphics and statistical reports. Carry out research and interrogate websites to retrieve guidance across a range of key issues pertinent to the work of the EPR Programme.
  • Liaise and manage relationships with suppliers as required. Raise non-stock requisitions, and process payment of invoices and part orders, keep track of all.
  • To deal with all telephone enquiries on behalf of the EPR Programme and other designated members of the team.
  • Jointly with other members of the team, maintain a pleasant working environment and present a professional and helpful manner when dealing with colleagues and visitors. Work with colleagues to continually strive to improve the efficiency and effectivenessof the team.
  • Any other duties as specified by the EPR Programme colleagues.
  • To adhere to the Trusts Policies and Procedures at all times.
  • To ensure the Trusts Health and Safety Policies are understood and observed and that procedures are followed.
  • To ensure the appropriate use of equipment and facilities and that the working environment is maintained in good order.
  • To take the necessary precautions to safeguard the welfare and safety of yourself, patients, visitors, and staff, in accordance with the Health and Safety at Work Act.
  • To report adverse problems to the Line Manager.
