Reed have partnered with an award winning, top 15 national firm with an office near Clifton. Recruiting for an Executive Assistant.Hybrid working is available in this role. 35 hour working week, flexibility around the core hours of 10 – 4.DutiesAnticipates and balances the needs of Partners, keeping one step ahead of their needsComplex management of multiple diariesComprehensive and pro-active email managementCollation of all documentation for meetingsAttending meetings, taking forward action points and next steps, including Minute taking at leadership meetings.Schedule appointments, arrange meetings and conferences and organise travel plans including itineraries and logisticsSupport stakeholder engagement by arranging actions, meetings, and eventsPrioritise own workflow and ensure work is completed to the required standards of productivity, quality and timelinessCarry out a range of procurement activitiesInitiative and confidence to provide support to enable Partners to fulfil their own rolesSupport with documentation, reports etc.Accountability for delivery of defined actions relating to both personal and team objectivesResponsible for the Anti-Money Laundering process, to include delegation of appropriate tasksResponsible for the billing process on behalf of Partners, including raising bills and running reports, maintaining a detailed tracker of distributed and paid bills and the follow up with debtorsRequirementsExperience working as an EA or PAProfessional service experience desirableExcellent client care skills – the ability to deal with queries from internal and external clients in a professional and polite manner, and be the first point of contact for external clientsExcellent organisational skills – the ability to take responsibility for own tasks and prioritise work in a calm and efficient mannerHighly developed time management skills – the ability to work to very tight deadlines while maintaining a high standard of accuracyHighly developed communication skills – the ability to communicate in a confident and professional manner with people at all levels within the businessDemonstrate flexibility/adaptability in meeting internal and external clients’ demands – in both the nature of the work undertaken and working additional hours as required to complete the task(s)Demonstrate proactivity and the ability to work on own initiativeMaintain high levels of confidentiality and discretion at all timesReliable with a strong work ethic and a ‘can-do’ approachActs as a positive role model at all timesHigh levels of IT literacy in Microsoft Word, Outlook, Excel and PowerPointAbility to understand budgets, costings and finance tasks such as Purchase Orders and Invoice processingAny specific skills as may be required within a particular departmentBenefits35 hour working weekTax free work from home allowance - £25 per monthPaid overtime availableBonus scheme25 days holiday plus bank holiday.
