Job Description

Membership and Events Coordinator £32,000-35,00015-month Fixed Term ContractCity BasedHours9.30-5pmMy client, a membership body with a philanthropic approach are looking for a Membership and Events Coordinator to support their Grants/Funding Team. This is a crucial role where you will provide administrative support to ensure all information is correct throughoutthe funding process and support events within the funding team. The successful candidate will have excellent IT skills, be confident using databases and have excellent communication skills. You must have experience working within a charity, either as an employeeor volunteer. This is a 15-month fixed term contract so you must be immediately available or have maximum 2 weeks notice period.THE ROLE

  • Act as the first point of contact for external enquiries and communications to the department, responding in a timely manner. Provide information and guidance on the application process, and if an enquirer is ineligible, signpost to other funders and organisations,where possible.
  • Co-ordinate Philanthropy Team events (such as seminars, conferences, lectures and the Companys annual Clergy Day, Committee Visits), scheduling, arranging venues and catering, issuing invitations, liaising with speakers, making travel arrangements, managingbookings/attendance, preparing resources, and welcoming attendees.
  • Schedule internal and external meetings including booking rooms and arranging papers and catering through the online room booking system (Salesforce), ensuring it is continuously maintained; organising travel and accommodation for team or Committee membersas appropriate for external events.
  • Contribute to the development and upkeep of the database, working with the team to ensure that the database is maximised.
  • With support from colleagues, assess and process grant applications for the
  • Companys small Heritage & Arts Programme.
  • Maintain a small portfolio of grants and maintain positive relationships with grant holders, visiting and monitoring funded projects.
  • Coordinate and draft on behalf of the team, internal monthly management information and routine information for the Deputy Clerks updates for key internal stakeholders.
  • Working with the Team, ensure that the Website content is up to date and accurate and that the Companys Philanthropic Programmes are accurately represented on funders networks and external directories as appropriate.
THE PERSON
  • Previous experience as an office or team administrator and managing events.
  • Proven IT skillsexpert user of full Microsoft Office suite and experience of working with databases/CRM, preferably Blackbaud Grantmaking or similar.
  • Financial & data literate with the ability to undertake data analysis.
  • Articulate, with excellent written and verbal communication skills.
  • Ability to draft and present information clearly, accurately in a variety of formats.
  • Ability to undertake research projects and produce reports as appropriate.
  • High customer service skills and ability to empathise with applicants and grantees concerns and respond to queries in a sensitive and timely manner.
  • Highly organised with an ability to prioritise and work to a range of programmes.
  • Self-starter with an ability to work independently, flexibly and to tight deadlines.
  • Able to use initiative to progress projects, whilst understanding the need to check and consult where appropriate.
  • A team player with a positive attitude to work and a willingness to support colleagues.
  • Interest, curiosity and enthusiasm about the philanthropic work
