Job Description

We are currently representing a Top Global Law Firm based in the City of London who are seeking an Admin Practice Assistant to join their team.Reporting to the Administrative Support Manager, the Administrative Practice Assistant will support the IP Trademark & Copyright Group by providing a broad range of administrative support to the assigned Practice Group.Key tasks/responsibilities include, but are not limited to:

  • Maintain case and client files.
  • Process new business intake and AML clearance.
  • Time entry, answer phones and take messages, schedule appointments and coordinate meetings; arrange audio and video conferences.
  • Process expenses, check requests, scanning, copying, word processing, document retrieval and coordinate incoming/outgoing mail, and emails.
  • Process invoices.
  • Process proformas for monthly billing.
  • Arrange travel and prepare travel itineraries.
  • Provide legal research, case support and project assistance.
  • Use InterAction database to support business development, including updating contact information for fee earner contacts, and maintaining and resolving conflicts within InterAction.
  • Book seminars/conferences and maintain CPD records for fee earners in line with SRA requirements
Education & ExperienceThis job requires:
  • Educated to A Level (or equivalent) and minimum of two years previous law firm experience, in IP Trademark/Copyright preferred.
  • Demonstrated proficiency in Microsoft Excel, Outlook, and PowerPoint.
  • Strong organisational skills, attention to detail, the ability to balance multiple tasks in a fast-paced environment, and the ability to manage confidential information with discretion.
  • Excellent written/verbal communication skills, strong interpersonal skills, and the ability to work independently and as part of a team.
  • CILEX qualification is preferred.
  • Flexibility to work overtime is required.
Other Qualifications & RequirementsTo perform the job successfully, an individual must demonstrate the following knowledge skills and abilities:
  • Excellent numeracy and technical skills (in particular excellent working knowledge of MS Excel, Word and Elite Billing)
  • Excellent attention to detail
  • Willing and enthusiastic attitude with the ability to take the initiative
  • Good communication skills (both written and verbal) with the ability to communicate effectively with all levels of the business, clients and vendors
  • Flexible approach with the ability to plan/organise own workload, adapt to change and balance competing demands
