Our client a well-respected and reputable professional body is currently looking for a Facilities Assistant on part time basis for 30 hours a week.The RoleTo provide effective facilities support, and undertake reception and facilities duties as necessary. The Facilities Assistant will be required to both take direction and work intuitively to support the completion of the department’s goals and objectives in a professional and culturally appropriate manner.Key ResponsibilitiesPhotocopy, distribute and filing of documents as appropriateAssisting the Facilities Team with making up packs and/or envelope stuffing and distributing booksAssisting other teams as required with administrative workEnsure premises are maintained to the correct standard including furniture, storage and open plan layoutsManage and tailor meeting rooms (including refreshments, equipment and room layout changes) to meet demands and daily room checksMaintain kitchen areas including supplies, equipment and repairsMaintain all machines e.g. photocopiers, shredders, hot water boilers, Coffee filters, kettles, V-taps, vending machines;Carry out minor repairs to the siteManage tradespeople and companies to ensure repairs or maintenance work is done promptly and to schedule and manage and sign off maintenance work upon completionTo ensure maintenance checks are done proactively e.g. emergency lighting, shower flushing electrical testing, extinguishers etc.To help with deliveries and other ad hoc messenger tasks as requiredTo ensure the furniture storage room is used effectively and is safe with safe systems of work in placeTo manage the flow of supplies and bulky items into and out of the buildingTo provide cover as needed as well as support to reception for site access issuesTo ensure hygiene and health and safety standards are implemented, maintained and documented e.g. work station risk assessments, site risk assessments, PAT Testing, water temperature checks, fixed wire testing, food storage and handling and equipment checks etc.To conduct daily walk through checks and hazard elimination or reductionTo manage and record the Fire call point testing processMake changes as requested by the Head of HR or the Top Team to ensure a continued positive, productive and safe working environmentIdentify, record and eliminate or reduce hazards and make changes as requested by the Head of HR or the Top Team to ensure a continued positive, productive and safe working environmentTo contribute to and fulfil the site H&STo provide a comprehensive post room and courier service to staffTo manage the relationship with Royal Mail, including franking machine and postage collection requirementTo record mailings volumes keep records to ensure service standards are metTo advise of mailing trends and costs to enable budgeting and planningTo provide a bulk reprographic service including binding, packing and dispatching materials to specificationProvide a reprographics service to the organisation to meet user specificationsTo help colleagues with complex printing needs and explain printer/copier operation as neededTo ensure the Office Support team are trained in managing and completing large print runs and binding to conference standards and formatsPerson SpecificationEssentialGCSE Grade C or above in English/Math or an equivalent qualificationFacilities experienceDIY experience desirableAbility to work with minimal supervision and directionAbility to adjust to constantly changing work demands and to meet competing deadlinesEffective decision-making skillsStrong interpersonal skills and customer focusedStrong influencing and relationship building skillsManual handling skillsAble to use Microsoft Word and ExcelH&S for facilities knowledge and skillsDesirableFire Marshal trainedWorkstation Risk assessorManual HandlingTo apply to this role please send your CVDue to the volume of applications we are only able to contact successful applicants.
