Job Description

My client, a southeast London local authority, seek a Senior Access to Records Officer required to complete complex Subject Access Requests (SARs) and other requests for information in the Children & Young Peoples Directorate. Experience essential.Main Purpose of The Job:

  1. To provide customer focused and efficient specialist administrative support for the Complaints and Information Team, including project support where required.
  2. To deliver a wide range of both routine and more complex administrative tasks within the Complaints and Information Team, in order to support the effective and efficient delivery of services within the Children and Young People Directorate.
  3. To support the accuracy, maintenance, and development of data and information systems in response to changing needs and to ensure effective implementation and review.
  4. To coordinate administrative functions relating to statutory and corporate complaints, enquiries and Freedom of Information (FOI) requests.
Summary of Responsibilities and Personal Duties:
  1. Receive, sort and distribute incoming and outgoing mail. (This will be mostly electronic but is occasionally paper copy).
  2. Receive and co-ordinate incoming and outgoing (internal and external) contacts, including complainants.
  3. Receive and manage both routine and more complex enquiries from customers via telephone, face-to-face, web or email in a sensitive, courteous and professional manner, resolving the majority of issues and only referring on to a manager when necessary.
  4. Receive and manage other incoming and outgoing contacts, internal and external.
  5. Create and maintain accurate records and files. Maintain and update customer information on systems.
  6. Obtain necessary customer documents, consents, as required.
  7. Prepare cases, files and related documents for approval and review.
