Job Description

One the largest public sector organisation based in London are looking to recruit three Executive Assistant to join their growing team. The role is for an initial 3-month contract with a view to extend if all goes well. The role is full time, Mondayto Friday, 37hours per week with hybrid work available.Job Purpose:To provide high level professional executive support to two Principals acting as part of an Executive Support Team supporting Mayoral appointees and Corporate Management Team Members.Principal Accountabilities:

  • Provide a full range of professional, high-level executive support services to two Principals, including set up, amendment and cancellation of meetings, planning over a significant timescale, and all associated tasks including commission and collation ofbriefing and speaking notes.
  • With thorough business area knowledge, work autonomously using evaluative judgement and discretion to respond to issues and balance competing priorities across multiple diaries for senior staff, escalating to the Executive Support Manager only where necessary.
  • Maintain key lines of communication and productive working relationships with a large and complex network of external stakeholders, senior managers, and other staff across the organisation to enable effective executive support.
  • Keep abreast of key priorities and relevant development for the business areas supported as well as those of the wider organisation, to enable knowledgeable and targeted support to the principals, to cover other diaries within the Executive Support Teamas required and to react to emerging events.
  • Manage the governance and transparency process for Principals (to include Gifts and Hospitality declarations; Register of Interests).
  • Manage the documentation clearance process for Principals (to include absence authorisations for Principals).
  • Inbox management relating to invites, deleting chains, filing emails as required.
  • Actively contribute to building a successful and positive Executive Support Team by taking personal responsibility for displaying the highest standards of professional behaviour and participating in team meetings, providing value-added input, and takingon assigned tasks as required.
