Job Description

Venesky-Brown’s client, a public sector organisation in Cambuslang, is currently looking to recruit a People and Organisational Development Support Assistant for as soon as possible on a rate of £12.94/hour PAYE.Responsibilities:- To provide effective administrative support in the delivery of a range of POD transactional services, supporting a best value approach, e.g. administration of processes and correspondence related to Discipline & Grievance/ Maternity, Paternity and AdoptionArrangements/ Contract Variations/ Career Breaks/ Flexible Working/ Resignations and Retirements, liaising with relevant stakeholders as appropriate- Provide support, guidance and advice to Line Managers and POD colleagues in relation to Personnel Movement processes- Prepare contracts of employment and variations as required by line managers, in conjunction with the relevant HR Adviser- In accordance with the organisation’s Policy and Procedures, co-ordinate and administer all personnel movements across the organisation including Temporary Promotions, Transfers, Trainee Station/Watch Postings and Fixed Term Contracts- Provide support, guidance and advice to Line Managers and POD colleagues in relation to Personnel Movement processes- Transact appointments, personnel movements and allowances within the Services’ HR Payroll System (I-Trent), e.g. updating salaries, pay protection, pension regulations, duty patterns and liaise with Finance colleagues as required in relation to this ID: PODSupport Assistant V1 September 2020 2- Support the Assistant Team Leader with I-trent month end checks, by running reports on updates/ staff movements within the HR Payroll system to ensure accuracy of transactions- Assign new entrants into the Service to the appropriate Pension Scheme and update existing employee’s details by notifying Core Payroll for enrolment purposes and compiling monthly returns for submission to the relevant Pension Provider- Process all purchase orders, goods receipt and invoices relating to POD activity using the organisation’s Financial System (Tech One) and maintain stock of stationery/consumables for the Directorate- Provide administrative support to the POD Directorate as required e.g. word processing, photocopying, processing of mail, policy document amendments, arrangement of meetings and taking minutes of meetings etc- Ensure that any changes in Policy, Procedures and practices are reflected and updated in all relevant POD documentation e.g. letters, forms and processes- Maintain a good working knowledge of the terms and conditions for all employee groups across the organisation to ensure ability to carry out role and respond to queries from Managers and stakeholders- Maintain, administer and update systems ensuring data/information is current, -accurate and follows standard guidelines enabling effective statistical reporting against performance indicators and for governance purposes and responses to FOI requests- Maintain all filing systems and personal records relating to personnel, to support compliance with policy and legislation in relation to Data Protection and Information Governance regarding the handling and storing of personal and sensitive informationEssential Skills:- Relevant experience gained within a busy administrative working environment- Good verbal and written communication skills with an ability to communicate clearly and confidently- Exceptional organisational skills and ability to work flexibly and accurately to meet deadlines and timescales- Experience of handling personal and confidential data and an understanding of Data Protection Legislation- Knowledge and experience of using IT packages e.g. Office 365- Experience of using / extracting / basic analysis of data from range of sourcesDesirable Skills:- Knowledge of electronic reporting systems e.g. HR/Payroll Systems, recruitment portals, financial system- Experience of administering information and processes relating to Payroll, Finance & HR activity- Note /Minute Taking experience- HNC Business Administration or equivalent- Ability to travel when required to attend meetings and training eventsIf you would like to hear more about this opportunity please get in touch.
