Job Description

Our client seeks to appoint a temporary Project Coordinator, to join an entrepreneurial and supportive team, working at the leading edge of sustainable research at their facility in central Cambridge.As a Project Coordinator, you will provide a critical administrative foundation, by supporting a dynamic team across a range of project areas, ensuring work runs smoothly.Candidates will be able to demonstrate relevant administrative/secretarial experience, with an understanding of financial administration and the ability to coordinate and deliver events across a range of formats. Strong organisational skills are essential,along with the ability to build relationships with internal and external stakeholders.This is a temporary contract to start as soon as possible for approx. 6 months. It is a full-time role, working 36.5 hours a week and the client is currently offering hybrid working.Specific ResponsibilitiesProject Coordination and Event Delivery:

  • Assist with the planning of events including liaising with suppliers by booking venues and arranging catering
  • Act as main point of contact for general project queries
  • Arrange project meetings, take meeting notes and follow up on actions
  • Support onsite management during events to ensure a seamless delivery, including liaising with the project team, external stakeholders, attendees and venue staff
  • Support the delivery of online/hybrid meetings and workshops including providing technical support, distributing materials and liaising with contributors and attendees
Financial Management:
  • Provide financial administration, including processing and raising invoices, managing budgets and monitoring income and expenditure
  • Draft contracts for external suppliers using appropriate templates
External Relations and Client Management:
  • Use the Client Relationship Management (CRM) system to maintain and update project and client information
  • Support the delivery of Comms and Marketing campaigns to promote publications and events (social media, newsletters, etc.)
  • Maintain and update client database, maintain and publicise project activities and events and provide administrative support for events and activities as required
  • Act as main point of contact for general project queries. Liaise with internal and external individuals and organisations, including funding bodies, to ensure the smooth running of the team’s work, deal with all day-to-day correspondence relating to theteam
Knowledge, Experience & Skills
  • Experience working in an administrative/secretarial role
  • Demonstrable experience in the use of standard software packages (MS365)
  • Experience providing financial administration (processing and raising invoices, managing budgets and monitoring income and expenditure)
  • Experience of managing events across a range of formats
  • Experience developing high levels of trust and credibility in relationships with internal and external stakeholders
  • Excellent written and verbal communication skills
  • Excellent organisational skills with the ability to manage a busy workload
  • High standard of attention to detail
  • Ability to adapt to change and work across multiple projects at the same time
