Job Description

Role Purpose

  • To provide a coherent Facilities service across the external site and multiple buildings to ensure all buildings are operational and fit for purpose. To support the administrators/managers in Health, Safety, day to day operation of the building and Securitychecks carrying out dynamic Health and Safety checks.
  • To provide Facilities services, including cleaning, setting, and resetting seminar rooms, lecture theatres, distributing deliveries, security and maintenance.
Waste and Cleaning
  • Checking and replenishing consumables. Fitting new dispensers and upgrading fittings.
  • Dealing with waste disposal. Ensure contract cleaners dispose of waste according to correct procedure, move waste wheelie bins, support contract cleaners in removing waste from buildings. Spot cleaning in public areas, including toilets, and dealing withspillages as required.
  • Cleaning of seminar rooms & Event spaces. Supervising performance of contract cleaners and communicating issues using communications books in all buildings. Using and supporting University recycling and other environmental initiatives.
Site/Building Maintenance
  • Clear snow/debris from entrances and paths around sites & leading to the buildings and lay salt, clear obstacles as required to ensure safe movement for staff around the sites.
  • Monitor and carry out minor maintenance. Put up shelves, repair and assemble furniture, decorate and put-up notice boards, change locks and replace lamps. Work alongside the Senior Building Services Technician for more complex maintenance and cover sometasks during holidays or sickness.
  • Assist with office moves and movement of furniture and equipment, in case of large moves, work with and oversee the completion of moves by contractors unfamiliar with the site, liaise with IT to complete moves.
  • Day-to-day monitoring of the visitors car park, checking that parked vehicles do not block access routes or create hazards - reporting breaches of parking to the Building services Supervisor issuing parking notices.
AV
  • Provide 1st line support in lecture rooms and seminar rooms for IT and AV systems, daily checks to ensure fit for purpose and accurate error reporting of issues to UIS or AV team.
Security
  • Disarm and arm alarms, check for any issues, use/monitor access and check alarm systems, reporting of faults arising from the checks, check windows and doors for safety and security. React to daytime security alerts and beware of potential security issuesaround buildings, liaise with visitors at all levels efficiently and courteously.
  • Manage access control systems dealing with users and door schedules. Locking and unlocking multiple buildings across site.
  • Open and secure rooms as dictated by events and teaching schedules, check that rooms are set up as requested, rearrange, and reset furniture as necessary, check that supplies of consumables needed are adequate and that IT and AV equipment is working.
Health & Safety
  • Report all areas of health and safety concerns to Building services Supervisor or Estates helpdesk using online portal. Ensure equipment is in safe working condition, make arrangements for repairs where necessary, have an awareness of building managementissues e.g., location of major fuses, controls, system shut offs (water, gas, electric) etc. in case of emergencies. Use power tools safely for maintenance and repairs.
  • Perform weekly, monthly, and annual testing of fire, security and alarm systems, access control systems and lighting systems as required for fire, health, and safety regulations.
  • Dealing with contractors when on site including signing in, allocating access control cards, health and safety, fire induction & issuing of hot works and roof permits including zone isolation of the fire panel.
Deliveries
  • The role holder checks that deliveries are correctly matched to the orders placed.
  • Monitor and order cleaning and maintenance consumables via line manager.
  • Arrange deliveries of paper stocks, and stock all print rooms with paper supplies on a frequent basis.
  • Deal with access problems for deliveries within the site and buildings.
  • Monitoring deliveries so that they use the correct access routes into the building and maintaining safe passage for building users.
  • Supply and maintain printer inks and consumables for printers and plotters. Receive large/heavy packages, taking them to the correct destination following appropriate manual handling techniques.
Reception/Admin duties
  • Cover receptionist daily breaks and planned/unplanned absences when required, daily use of Micad, Outlook and other local electronic room booking systems & calendars, emails, completing order sheets for consumables. Franking and sorting outgoing post.
Hours: 36.5 hours per week, Rota basis between 7:30am - 11pm 5 days over 7 (weekendsincluded)
