Job Description

Be valued, supported and recognised when you embark on a rewarding career where no two days are the same as a Ward Clerk at Barnet Lane Clinic.Working 37.5 hours a week, where you will provide clinical administrative support to the Clinical Unit Managers and ward team. This will see you update and maintain accurate service user information, answer telephone calls and update Carenotes with new admissionsand those being discharged, and add relevant documentation and reports.You will work alongside the ward staff to ensure working environments are maintained and service users folders and observation sheets are documented and filled accurately. You will prepare all new service users folders in preparation for admission.When you are not providing administrative support to the ward team, you will participate in the implementation of the new Quinyx rostering system for the wards and will manage the existing Temployer system that is being phased out.This will see you discuss with the senior management team about their staffing needs as you will monitor and plan future rotas to reduce the number of vacant shifts. You will identify gaps in rotas and contact bank and agency staff to ensure the teams arefully staffed.Your responsibilities will include:

  • Provide cover for reception
  • To manage all ward archiving on a weekly/monthly basis
  • Update the information on Temployer and Quinyx rota system
  • Ensure documentation, administrative systems and processes for staffing, training and HR data are accurate
  • Will undertake a daily review of attendance information, including monitoring of all absences
To be successful in this role, youll need:
  • Accuracy, efficiency, timeliness, and diligence are displayed in the accomplishment of all assigned duties with a minimum of direct supervision
  • GCSE certificate, Grade C or above in English and Maths, or equivalent
  • Experience in a similar role or environment
