Job Description

Reed are working in collaboration with a successful and developing organisation, recruiting for the position of Supply Chain & Shipping Administrator to join the team in their office in North Norfolk!Within the role you will provide administrative and customer support to the Regional office and management team so they are able to operate efficiently, coordinating and distributing scheduled for international trade and other services withinthe company.

  • Compiling and distributing schedules, updating customers on timeframes
  • Filing industry announcement and press releases
  • Maintaining cost sheets and pricing matrix, circulating to the network team worldwide as required
  • Update and circulate carrier sheets to Europe agents
  • Analyse cargo load reports
  • Check and resolve invoice discrepancies with shipment teams and agents.
  • Monitor connections and highlight any issues along with corrective actions
  • Prepare and collate material content / presentations for trade exhibitions, conferences, and agency meetings.
  • Provide cover on Logistics to the Commercial and Market Team.
  • Produce updates for agency performance reports re documentation timeliness –engage with the network to improve processes and scores.
  • Update European contacts and forward changes to the company
  • Maintain European Agency Agreements including contact info
  • Produce bespoke customer schedules on a weekly basis.
  • Monitor shipments and maintain the tracking document for weekly review and circulation.
  • Coordinate and circulate booking instructions to all relevant parties
  • Address and resolve routine documentary queries customers.
  • Cross check and prepare for printing the Original Bills and other documentation for customer accounts
  • Distribution & processing of customer surveys
  • Assist in service and systems improvements
  • Submit the Environmental Report on an annual basis
  • Act as primary point of contact for the office, screening and directing enquiries accordingly.
  • Organise Couriers and Postage requirements.
  • Manage and maintain the global contacts list and customer & internal distribution lists.
  • Maintain record of service provider contact details including contracts / review dates
  • Organise staff and visitor travel and hotel accommodation as directed.
  • Responsible for Petty Cash expenditure, providing monthly reconciliation reports.
  • Take minutes during meetings and conferences as directed.
  • Reorder stationary items as required.
Requirements
  • Experience within a similar role within Administration / Supply Chain / Shipping / Logistics, or a relevant degree
  • Team working skills
  • Strong use of initiative and resourcefulness
  • Excellent communication skills and telephone manner with ability to manage relationships internal and external
  • Self-motivated, inquisitive and confident
  • Innovative and analytical, interested in improving processes
  • Commercial awareness
