Job Description

To work as part of the Leasing team in assisting with all aspects of documenting the property portfolio.The activity will include supporting, and possibly leading, lease transactions (under supervision) to convert occupiers to a formal contract, analysing asset management data for the buildings in the portfolio, and liaising with Customers, Clinical Commissioning Groups, internal NHSPS teams and NHS focus groups to strive towards managing an efficient and cost-effective portfolio that supports the needs of the NHS. Key responsibilities

  • Work with the zonal SPM to create an audit trail and document the deemed agreement as they are agreed with the occupier in
  • To take ownership of each undocumented occupier details in the zone and update Horizon to ensure the starting data is
  • To identify opportunities within the portfolio where the occupier has accepted their occupation details or to creatively identify opportunities to put in place a Deemed
  • To work with the SPMs to create a strategy for each and every occupier to put in place a Deemed This is to be agreed and approved with the SPM.
  • To attend a weekly meeting with each SPM to confirm actions and
  • To keep a log of each meeting with each SPM and record the outcome and action points from the
  • To drive the process and contribute to the monthly updating
  • Key Tasks: To take ownership of the Deemed Agreement process as follows:-
  • To arrange meetings on Compass for the SPM or SFM to attend with the intention of agreeing the ACS and the
  • To take the meeting notes, either in person or from the SPM and store on
  • To amend the CAD plan and send through to the CAD team in Leeds for amendment and ensure the plan is amended and sent back in a timely manner if necessary
  • To send the plan to the occupier plus the OUS and request confirmation that the details are
  • To chase the occupier as necessary and ensure an acknowledgement is received if not a deemed
  • To log the deemed agreement on Aconex and complete the meeting on
  • To ensure that the audit trail is complete and that the Deemed Agreement is included in the Zonal
  • Estates management
  • Providing ongoing support in relation to the occupancy of the estate, advising SPMs and if required tenants as to the various responsibilities, obligations and covenants in accordance with their leases or policies if the occupier is
  • Supporting and arranging the attendance of Landlord and Customer meetings as necessary
  • Documenting agreement reached at meetings
  • Reviewing business rates invoices received by Superior Landlords and liaising with the central Policy & Portfolio Management team.
  • Transaction management
  • Drafting of documents for use with This will include, but not limited to, heads of terms for the granting of agreements, licenses and memorandums of occupation
  • Ensuring that the communication is returned and agreed
  • Updating data agreement to Horizon data base
  • Data management
  • Assist in ensuring all asset management data relating to the SPMs portfolio is complete and
  • Using Horizon, NAV, CoStar, Aconex and other systems available to actively manage
  • Working closely with the Data Support Manager to update the Horizon property
  • Raising Data Change Notices accurately and timely when
  • Supporting asset management data initiatives to collect and validate data points to improve daily asset management activity and the wider use of the
  • Reviewing regular reports on data to identify any sources of data
  • Generally, to be a good data steward and embrace a data -driven culture identifying errors and

  • Supporting SPMs in building strong Customer relationships for occupiers within the portfolio ensuring customers are responded to timely and
