Clerical AssistantAn opportunity has arisen for an experienced Clerical Assistant to join a well-established organisation based in Belfast.This is a full-time, 6 month Fixed Term ContractHours: Mon -Thurs 8.45am5pm & Friday 8.45am4pmSalary: £18,852Job Purpose:As Clerical Assistant, you will be responsible for providing the provisions of administrative duties, ensuring that they are completed in a prompt and efficient manner.Essential Criteria: A good standard of numeracy and literacy as demonstrated by qualificationincluding GCSE or equivalent in English and Maths 6 months experience of working in an office environment in a clerical capacity Excellent IT skills and literacy with experience of the use of Microsoft Office packages Excellent communication skills both written and verbal with the ability to communicate with stakeholders at all levels Ability to manage and prioritise a busy workload adhering to tight deadlines Ability to work on your own initiative as well as part of a teamMain Duties and Responsibilities: Provide clerical support to include operation of the databases and system and overseeing end to end administrative tasks specific to the sections Maintaining both manual and electronic filing systems Acting as a point of contact to internal and external customer enquiries, particularly enquiries specific to the section in which they are based Responding or redirecting as appropriate (to include telephone, email, face-to-face or post) Supporting events by setting up equipment required for meetings and interviews (data projectors, laptops, Skype, teleconference phone etc.) Prepare and format a wide range of documentation such as reports, letters, agendas, minutes and end to end administrative tasks (i.e., tasks that involve the identification of the need for a letter, amending the letter to suit the particular circumstances,amending the relevant database and dealing with any follow-up queries from the recipient of the letter and/or the managers in the area) Operate and adhere to general processes in accordance with internal controls and best practice, including challenging non adherence/compliance to procedures and informing appropriate contact within the Directorate Performing direct customer facing support, ensuring work conforms to agreed quality standards, guidelines and procedures
