Venesky-Brown’s client, a public sector organisation in Balloch, is currently looking to recruit a Facilities Co-Ordinator for a 3 month contract on a rate of £14.87-£16.08/hour PAYE. This role will be hybrid working and will consist of 35 hours per week. Responsibilities:- Responsible for managing the day-to-day fleet requirements for the Park Authority Road Transport Fleet. This covers all aspects of managing legal/statutory requirements, maintenance and servicing of the vehicles and associated record keeping, as well as bookingsystems and allocations of vehicles to staff. This also includes advising on associated policies and processes to support the management and use of the Road Transport Fleet to meet Park Authority requirements;- Be the Facilities Team lead on use of the Estates Management System to ensure that all agreed processes for using the system are followed, that the system is kept up to date and that it is used proactively and consistently across the team. This includes providingsupport to other team members on the use of the system and working closely with the Estates Data Officer to make improvements to the processes and help implement new areas of the system;- Joint responsibility with the other Facilities Officer for the day-today Facilities operations at Carrochan. This covers all aspects from monitoring of the Building Management System to management of waste and toilet hygiene services, as well as being onthe rota for opening/closing of the building;- Joint responsibility with the other Facilities Officer for the day-to-day management of the Park - Authority’s property security arrangements for all buildings. This covers all aspects from building access to CCTV management;- Work proactively with the other Facilities Officer and the Maintenance Officer to ensure that all Park Authority buildings meet requirements for statutory compliance, including competent person responsibilities and carrying out planned maintenance tasks;- Assist the Maintenance Officer when required (and in their absence) with carrying out minor building repairs, and with managing maintenance contractors carrying out more specialist repairs;- Responsible for carrying out all administrative Facilities processes associated with the role using the Estates Management System, Finance System and other digital tools for all processes. Assist other team members with the administration of Facilities processeswhen required to ensure a continuous level of service across the team as far as possible;- Be part of an out-of-hours On-Call rota arrangement to provide a range of services. Must be available to be on site to determine and instruct on a situation. Access to a fleet vehicle will be given to attend these duties;- Provide ad-hoc cover for the Park Authority Store services as required, generally to cover staff absence.- Undertake any other duties appropriate to the grade as required including work across functions and teams as required.Essential Skills:- Experience of fleet vehicle management; - Experience and understanding of Facilities Management/management of buildings; - Experience of assisting with the development of policies and processes to improve Facilities management services; - Experience of working in a multi-faceted workplace driven environment; - Experience of handling complaints; - Experience of digital maintenance systems.- Strong customer focus;- Computer literate;- Numerate;- Good written and oral communication skills;- Comfortable working in a fast-paced reactive environment with the ability to confidently adapt to changing priorities;- Ability to organise and prioritise own workload;- Ability to build relationships internally and with 3rd party suppliers:- Knowledge of Health & Safety and environmental requirements in relation to the role.- Full UK driving licence or access to a driver if disability prevents driving;- Flexible approach to working hours as rota shifts are required.
