Job Description

Depot Admin and Finance Supervisor - Avonmouth - Express Distribution Salary £28K Base Plus excellent Benefits Our client is one of the best known names in the Distribution market, providing their customers with high standards of quality and serviceReporting to the Depot General Manager this role is to be fully accountable for the Depot Administration and Financial reporting and analysis, as well as being the front-line ambassador for all office depot enquiries.The position will proactively seek ways to support the management team in identify cost opportunities including labour costs, both PAYE and Agency spend, be accountable for the depot Facilities Budget and Depot Costs and ensure that all reporting and businessadmin governance is done in a timely and thorough manner.You will be accountable for:

  • Management of daily, periodical analysis and reporting for all cost within the depot ensuring any associated risks and contingencies are escalated to the DGM.
  • Responsible for generating and analysing all financial reports, highlighting trends, poor practice and risks and offering potential solutions that can influence decisions.
  • Maintain accurate Attendance Management by updating relevant system accurately and in a timely manner.
  • Managing and revisiting local process to create a robust practice and reporting methodology in an effort to reduce costs, have higher people engagement and ensure we are compliant with the law and business requirements.
  • Collate, maintain and submit relevant payroll timesheets, update Kronos and Payroll submissions accordingly in line with company deadlines
  • Develop and maintain a working system with the Depot Manager in relation to Working Time Directive worked hours, working efficiencies / trends including sickness and absence reporting.
  • Maintain Training & Development records for Depot; supporting where appropriate to arrange attendance on specific course, job chats and personal development records
  • Discretion to deal with confidential matters and information including supporting as note-taker in investigation, disciplinary & grievance meetings
  • Actively work within the Admin Network to promote and share best practice across all Depots
  • Work with the DGM and National Admin Depot Manager to achieve financial savings by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analysing variances
  • The main depot ambassador and point of contact for the customer and key stakeholders main contact ensuring quick, friendly and informative response which can include managing reception, post, dealing with all incoming enquiries and visitors manage all localprocedures to ensure that a onsite requirements, H&S, visitors logs are compliant environment in line with company policy.
  • Provide administrative support for the Depot, producing relevant documents and reports as requested using appropriate MS packages and systems
To be successful in this role you will require the following Qualifications:
  • Financial Qualification desirable but not essential
  • Proven experience or a similar role at senior level.
Knowledge & Experience:
  • Experience of managing process and systems in a busy administrative environment is essential.
  • Able to prepare presentations ensuring information is clear, concise and demonstrates the discussion requirements.
  • Proven ability to analysis information or stats to create a case and influence others.
  • Proven ability to create efficient systems, ways of working for improvements.
  • Experience of working with others; builds effective relationships with peers outside own team, understands the impact of their own behaviour on others and modifies accordingly, not afraid to tackle conflict or confront others when problems occur, can adaptas and when needed.
  • Experience of problem solving and decision making; actively seeks and is open minded to ideas, makes decisions based on factual information and evidence, resolves issues promptly but also allows others to provide solutions.
Technical & People Skills:
  • Advanced in understanding of Management Information and Excel spreadsheets. Good Ability with Excel, PowerPoint, and Word
  • To review depot data through identifying trends that deliver solutions to improved quality.
  • Demonstrate ability to understand cost controls, data reports, MI and KPI metrics.
  • Able to demonstrate leadership qualities with excellent influencing and interpersonal skills.
  • Speed and accurate typing skills, including attention to detail.
  • Proven organisation skills - ability to work in a logical and methodical manner; ability to use own initiative and effectively manage several tasks at one time.
